Overview:
The Project Manager is responsible for the successful planning, coordination, and execution of assigned projects to include, but is not limited to, ambulatory programs, services, clinic openings, and/or site expansions. This role serves as a central point of coordination among multiple departments to ensure readiness activities are completed accurately, on schedule, and in alignment with organizational standards.
The position requires strong organizational skills, attention to detail, and the ability to work collaboratively across operational, clinical, and administrative teams. This position supports the UF Healath Medical Group and requires travel to all markets including Gainesville, Central Florida, North Florida, with coverage in Jacksonville, St. Johns County, and Leesburg.
Responsibilities:
- Develops and maintains standardized implementation manuals, guides, and process documents to support new sites, programs, and projects.
- Assists leadership in establishing project timelines, scopes, and requirements for new clinics, expansions, and service‑line initiatives.
- Monitors day‑to‑day project progress, tracks milestones, and ensures tasks remain on schedule.
- Coordinates communication and deliverables with departments including real estate, legal, HR, supply chain, medical staff services, IT, revenue cycle, and other stakeholders.
- Supports planning and procurement of furniture, fixtures, equipment (FFE), and initial supply needs for new or expanding locations.
- Facilitates IT‑related preparation including hardware needs, network setup, telecommunications, and Epic build coordination.
- Collaborates with marketing and business development on materials, website updates, awareness campaigns, and other promotional activities related to new or expanded services.
- Coordinates submission, tracking, and completion of required licenses, permits, exemptions, and regulatory documentation.
- Assists with onboarding, credentialing, and enrollment preparations if the opportunity progresses for assigned providers or projects.
- Prepares and distributes project updates, readiness summaries, and essential operational details such as addresses, phone numbers, and opening dates.
Qualifications:
REQUIRED EDUCATION:Bachelor's degree in Business, Health Administration, Business Administration, or related field
PREFERRED EDUCATION: Master's degree (MHA, MBA, MPH) or Graduate Certificate in Project/Change Management
REQUIRED LICENSURE/CERTIFICATIONS: PMP, CAPM, or other recognized project management certification.
Valid Florida or Georgia Driver License with a clean record, or violations not exceeding maximum points as provided in hospital policy.
REQUIRED EXPERIENCE: 5+ years leading complex, multi-stakeholder projects in ambulatory care or healthcare operations (e.g., new sites, expansions, service line launches) Experience developing implementation manuals, SOPs, policies, and standardized workflows Working knowledge of clinical operations including staffing models, scheduling templates, supply management, and infection control fundamentals
PREFERRED EXPERIENCE: Experience coordinating credentialing and enrollment (Medical Staff Services, payer enrollment, PECOS/CAQH familiarity) Revenue cycle knowledge including billing setup, NPI taxonomy, charge capture considerations Budget management experience including capital and operating expense oversight
