Summary:
The Project Manager to the Director of Regulatory Affairs is responsible for supporting leadership goals and strategic hospital goals. The incumbent will provide strategic operational leadership and direction to assigned projects to help meet HUP Regulatory Affairs' vision of continuous survey readiness. The incumbent will provide expertise in project administration, communications, and event management to drive the success of multiple high-profile, multi-department projects. The Project Manager is also responsible for providing high-level support by preparing statistical reports, handling information requests, scheduling needs, managing confidential information and other needs of the HUP Regulatory Director and the Regulatory office, as required. The incumbent must possess the ability to work with autonomy and function as part of the HUP Regulatory team
Responsibilities:
- Conducts periodic risk and quality assessments; reports results to Director and Associate Director of Regulatory and Business leaders with recommendations for mitigation and improvement; Conducts project planning and status meetings with stakeholders to understand project requirements and communicate implementation methodology to the client; Coordinate with appropriate internal and external stakeholders as necessary.
- Provide demonstrations, presentations and formal classes as necessary; Provide periodic written status reports to the Director and Associate Director of Regulatory and Project Committees showing status compared to the work plan, issues, risk, and assignments/plans for resolution, resolved issues, problem log and status, upcoming major project situations, and adherence to project budgeted resources; Build and maintain databases and dashboards that support the work of the Regulatory Director as required.
- Coordinates all calendar scheduling for HUP Regulatory Director. Ensures all logistics are complete and confirmed; Collects and compiles data, and other materials for reports, budgets, correspondence, board reports, charts, etc.; collates and assembles reports and documents as required by Director of Regulator; Draft and edit, PowerPoint presentations, scripts, talking points, leadership messages, and other communications as relates to both internal and external outreach; Ensure messages are appropriately written for targeted audiences.
- Monitor metrics to identify trends and best practices that drive improved communications activity; Plan, edit and write content for a variety of internal communications mediums, such as a staff intranet, newsletters, or regular email bulletin. • Ensure internal communications messages are consistent across all mediums and for different departments of the organization;
- Ensure internal communication messages are consistent with external communication messages.
- Advise Director and Associate Director of Regulatory on developments throughout the organization, either face to face or through regular written communication
Credentials:
- Project Management Professional Certification (Preferred)
Education or Equivalent Experience:
- Bachelor of Arts or Science (Required) with Education Specialization: Equivalent Experience: 5 years of experience working with leadership in an academic healthcare environment.
- H.S. Diploma/GED (Required)
