This role oversees the full lifecycle of design and installation projects, from pre-installation planning through on-site implementation and completion. The Project Manager coordinates manufacturing and site readiness, supports installation activities, and serves as a key liaison between internal teams, sales, customer service, and end customers. This position manages multiple concurrent projects, maintains accurate order and status reporting, and ensures a high level of customer satisfaction while supporting a growing portfolio of projects across diverse environments.
Responsibilities
- Manage 10-15 projects simultaneously, overseeing work from initial concept through pre-installation, installation, and final completion.
- Coordinate pre-installation activities, including monitoring manufacturing status, confirming site readiness, and aligning schedules with internal teams and customers.
- Oversee installation activities by tracking install status, providing support to field teams, and addressing issues that may arise during implementation.
- Communicate proactively with plant personnel regarding scheduling, manufacturing status, and any issues that may impact project timelines or quality.
- Work closely with the customer service team to support order processing, customer inquiries, and project-related communication.
- Assist the national sales team with paperwork, quotes, and project documentation, ensuring accuracy and timely completion.
- Follow up on missing or incomplete sales information required for order input and resolve issues that arise during the order entry process.
- Print, distribute, and track sales acknowledgment forms to ensure all stakeholders receive accurate order confirmations.
- Develop and maintain an exceptional level of product knowledge to support customers, sales, and internal teams effectively.
- Prepare and maintain management reports, including order status and open orders, providing clear visibility into project and production pipelines.
- Keep all internal and external stakeholders informed of project status, key milestones, and issues that may impact customer relationships or delivery timelines.
- Collaborate directly with customers and end users to clarify requirements, address pre-installation questions, and ensure expectations are aligned.
- Engage with production teams to request updates, clarify priorities, and resolve production-related challenges that affect project execution.
- Support the development of marketing and sales information by providing project insights, product knowledge, and feedback from the field.
- Manage projects of varying scope, from small-scale installations such as single cafeteria tables to full facility remodels.
- Travel occasionally to project sites, such as schools or other customer locations, for one- to two-day visits to review progress, address issues, or support key installations.
- Perform various miscellaneous and non-standard duties as required, adapting to evolving business needs and priorities.
Essential Skills
- A minimum of 3-5 years of project management or closely related experience.
- Bachelor's degree in business or a related field, or a Project Management Certification.
- Demonstrated experience managing multiple concurrent projects from conception through completion.
- Experience working in or with manufacturing environments, including coordination with plant or production personnel.
- Proficiency with ERP systems to track orders, production status, and project information.
- Experience using CRM systems to manage customer and sales-related data.
- Strong understanding of standard operating procedures (SOPs) and their application in project execution.
- Advanced knowledge of Microsoft Word, Outlook, Excel, and Access.
- Strong project management skills, including planning, scheduling, prioritization, and risk mitigation.
- Advanced verbal and written communication skills, with the ability to communicate clearly with internal teams, sales, and customers.
- Excellent interpersonal skills, with the ability to build effective relationships with customer service, sales, production, and external stakeholders.
- Proven leadership skills, including the ability to influence cross-functional teams without direct authority.
- Comfort interacting directly with customers and end users, including conducting calls, meetings, and site discussions.
- Willingness and ability to travel occasionally by air or other means to project sites as needed.
Additional Skills & Qualifications
- Project Management Certification, in addition to or in place of a bachelor's degree in business, is highly valued.
- Experience supporting national sales teams with quotes, documentation, and project-related paperwork.
- Background in mechanical or manufacturing environments, contributing to an understanding of production processes and constraints.
- Familiarity with managing projects in educational or institutional settings, such as school facilities.
- Ability to work effectively on projects ranging from small installations to large-scale remodels.
- Strong attention to detail and organizational skills, particularly in managing documentation, acknowledgments, and reporting.
- Ability to adapt to a growing organization and take on expanded responsibilities, with potential to progress into senior project management roles.
Work Environment
The role operates in a dynamic, growth-oriented environment that combines office-based coordination with occasional travel to customer sites. You will work closely with customer service, sales, and plant personnel, frequently using ERP and CRM systems along with Microsoft Word, Outlook, Excel, and Access to manage projects and documentation. Projects span a range of scopes, from single fixtures such as cafeteria tables to full facility remodels, often in institutional or school settings. The company is experiencing significant growth, supported by large, multi-project contracts, which provides exposure to a high volume of active projects and opportunities for advancement into senior project management roles. Occasional air travel may be required for one- to two-day visits to project locations to support key installations or resolve on-site issues.
