Job Title: Project Coordinator

Department: Operations / Field Operations

Reports To: Project Manager and/or Project Executive

Position Summary

The Project Coordinator is responsible for supporting the successful planning, execution, and closeout of projects performed for a large General Contractor (GC). This role serves as a key liaison between field operations, project management, subcontractors, vendors, and client representatives to ensure projects are completed safely, on schedule, within budget, and in accordance with quality standards.

The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced construction and general services environment.

Key Responsibilities

Project Administration

• Assist Project Managers with planning, scheduling, and coordinating project activities.

• Maintain project documentation, including contracts, purchase orders, submittals, change orders, meeting minutes, and closeout packages.

• Track project milestones, deadlines, and deliverables.

• Coordinate project startup and closeout processes.

• Prepare and distribute project reports and status updates.

Client & Stakeholder Coordination

• Serve as a point of contact for clients, project teams, subcontractors, and vendors.

• Coordinate meetings, site visits, and project communications.

• Ensure timely follow-up on action items and project requirements.

• Support client relationship management by providing responsive and professional communication.

Scheduling & Resource Management

• Assist in developing and maintaining project schedules.

• Coordinate manpower, equipment, materials, and subcontractor activities.

• Monitor project progress and identify potential scheduling conflicts.

• Work closely with field personnel to ensure project needs are met.

Financial & Procurement Support

• Assist with project budgeting and cost tracking.

• Process purchase orders, invoices, and subcontractor documentation.

• Track committed costs and assist with monthly project forecasting.

• Support procurement activities by coordinating material deliveries and vendor communications.

Compliance & Safety

• Ensure project documentation complies with company and client requirements.

• Maintain records related to safety, quality control, and regulatory compliance.

• Support site-specific onboarding and credentialing requirements.

• Promote adherence to company safety policies and procedures.

Reporting & Documentation

• Maintain accurate project records and electronic filing systems.

• Prepare reports on project status, labor utilization, and production metrics.

• Assist with preparing presentations, proposals, and project summaries.

• Compile closeout documentation, warranties, and turnover packages.

Qualifications

Education

• Associate's or Bachelor's degree in Construction Management, Business Administration, Engineering, or a related field preferred.

• Equivalent combination of education and relevant experience may be considered.

Experience

• 2–5 years of project coordination, construction administration, or related experience preferred.

• Experience supporting projects for commercial construction, industrial services, maintenance, or specialty contracting organizations is highly desirable.

Skills & Competencies

• Strong organizational and time management skills.

• Excellent verbal and written communication abilities.

• Ability to manage multiple projects and priorities simultaneously.

• Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).

• Experience with project management software such as Procore, Autodesk Construction Cloud, CMiC, Viewpoint, or similar platforms is preferred.

• Strong attention to detail and problem-solving skills.

• Ability to work independently and collaboratively within a team environment.

Physical Requirements

• Ability to visit construction sites and industrial facilities as needed.

• Ability to walk active job sites and comply with all PPE requirements.

• Ability to sit, stand, and work at a computer for extended periods.

Reporting Relationship

Reports directly to the Project Manager and works closely with Operations Managers, Field Supervisors, Clients, Subcontractors, and Vendor Partners.

Compensation and Benefits

Salary Range: Competitive Annual Salary based on qualifications, skills, training, experience, and location.

Discretionary Annual Bonus: Subject to company performance and individual contribution.
