POSITION PURPOSE

The Project Coordinator plays a critical role in managing the end-to-end scheduling of both our installation and service departments. From daily crew assignments to optimizing the customer journey in our CRM, this position keeps the operation running smoothly. You'll juggle multiple moving parts - scheduling measures, re-measures, installs, and service appointments - while making real-time decisions to reduce delays, optimize routes, and drive revenue.


YOUR ROLE

Scheduling & Logistics
  • Manage the master schedule for installation and service crews.

  • Assign projects, adjust durations, and reallocate crews based on performance and location.

  • Prioritize goals like reducing days to install and days to service, in addition to maximizing installed revenue.

  • Respond in real time to cancellations, reschedules, weather delays, or supply chain issues.

  • Schedule measurement and re-measure appointments, coordinating across departments.

  • Ensure route efficiency and minimize crew downtime or unnecessary travel.

CRM & Customer Journey
  • Use CRM tools (e.g. RForce) to automate and monitor customer touchpoints, including welcome calls, pre-install instructions, and updates.

  • Ensure customers are clearly informed and engaged from sale → measure → order → install.

  • Track CRM follow-ups and escalate any issues like missing materials or delays in processing.

Coordination & Communication
  • Act as the central liaison between sales, project management, installation, and customer experience.

  • Provide visibility into schedule performance, capacity, and bottlenecks to operations leadership.

  • Work cross-functionally to confirm that jobs are ready to install - permits, materials, labor - all in place.

  • Support process improvements by identifying recurring inefficiencies in scheduling and CRM workflows.

 

QUALIFICATIONS

Required
  • Experience in logistics, dispatch, scheduling, or project coordination.

  • Strong analytical and time management skills.

  • Proficient with spreadsheets, metrics, and planning tools.

  • Solid communication and relationship-building across departments and with customers.

  • Ability to stay focused and flexible in a fast-moving environment.

  • CRM experience or willingness to quickly learn (bonus for RForce or similar systems).

Preferred
  • Experience in construction, field service, or home improvement industries.

  • Familiarity with workflow automation and tech tools used in scheduling or operations.
