Summary:

The Project Coordinator, Compliance and Privacy Services is responsible for directing, organizing, and controlling project activities, under the direction of a Project Manager or Director, that enhance program effectiveness through standardization, data analytics, automation, and cross-entity coordination. This position spends >50% of time worked on managing projects. Works with project team members to gather and evaluate business requirements and update project documentation. This individual will work collaboratively with a variety of entities, administrative individuals, teams, groups, or physicians, clinicians, and executives to implement these strategies, creating a culture of high performance. Additional Responsibilities (approximately 25%) include general administrative support.

Responsibilities:

• Assists Project Manager in developing a comprehensive workflow process for projects. Reviews project proposal and deliverables with Project Management and other related departments that will be involved to determine proper lead time.
• Maintains communication with project members to assure timely and efficient completion of jobs, proper communication of issues, and proper documentation of the entire process.
• Monitors and modifies project schedule as assigned. Maintain document control, database management, track project activities and team communication. Assists project team and team lead in strategic meetings and follow up with meeting notes.
• As project lead, prepares and edits project-related presentations and charts. Coordinates meetings, including travel arrangements and expense reports. Maintains Project Managers calendars.
• Schedules project follow up meetings as needed. Develops and publishes communications to project shareholders. Develops and reviews project status and reports.
• Additional Responsibilities (approximately 25%) include general administrative support, including managing mail, supplies, and catering arrangements; assist with meeting logistics, minute-taking, and document preparation for entity-level committee and Board meeting; support onboarding, offboarding, and staff communications. Utilize and demonstrate proficiency with tools and applications such as MS Word, Excel, PowerPoint, Visio, and Teams Planner to support departmental tasks and projects.

Expert PowerPoint and MS tools skills preferred.

Other Information

Education Requirements:

Associates degree in an appropriate discipline or equivalent combination of education, skills, and experience.

Licensure/Certification Requirements:

No licensure or certification required.

Professional Experience Requirements:

If Bachelors, 1 year of administrative/office support or 6 months of project related support.

If an Associates degree, three (3) years of experience providing project-related support.

If a high school diploma/GED, seven (7) years of experience providing project-related support.

Knowledge/Skills/and Abilities Requirements:

• Expert PowerPoint and MS tools skills preferred.
