In this role, you will: Manage complex Outlook calendars, meetings, travel arrangements, itineraries, and expense reporting. Coordinate team communications, distribution lists, employee announcements, recognitions, and organizational updates. Create and maintain reports, org charts, talent tracking documents, year-end feedback materials, and surveys. Prepare executive-level presentations, agendas, meeting notes, summaries, and follow-up actions. Support onboarding activities and maintain team rosters and resource tracking. Own and manage Teams and SharePoint sites, folders, and document repositories. Assist with project administration, including RAID log maintenance, invoicing, budget tracking, accruals, and contractor/vendor entries. Organize team meetings, workshops, and offsite events, ensuring effective planning and execution. Provide professional correspondence support and act as a key point of contact for internal and external stakeholders.
Who You Are: 5+ years of experience in Executive Assistant, Administrative Coordinator, Program Coordinator, or similar support roles. Advanced proficiency with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, Teams, and SharePoint). Strong communication, critical thinking, and relationship-building skills. Ability to manage confidential information with discretion and professionalism. Highly organized with exceptional attention to detail and follow-through. Proven ability to prioritize multiple tasks and meet deadlines in a dynamic environment. Quick learner with the ability to understand complex business processes. Experience planning meetings, workshops, and corporate events is highly desirable. Professional, reliable, proactive, and results-oriented. Experience supporting senior executives, PMO teams, or large-scale transformation programs. Experience tracking budgets, invoices, and project-related financial activities.
