About the Agency: The Idaho Division of Career Technical Education (IDCTE) provides administration, leadership, and coordination for secondary and post-secondary programs in career technical education (CTE) across the state of Idaho. With a customer-service focus, the Division leads Idaho's efforts to prepare youth and adults for high-skill, in-demand careers.
Summary: The Project Coordinator supports the planning, coordination, implementation, and tracking of Strategic Initiatives for IDCTE. This position is a member of the Strategic Initiatives and Innovation team and plays an important role in helping translate agency priorities into actionable work by keeping projects organized, aligned, and moving forward.
Working with internal teams and external partners, the Project Coordinator supports program implementation, tracks progress and contributes to the continuous improvement of strategic systems and processes. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a collaborative environment. This role requires strong communication and relationship-building skills, with the ability to support collaboration across partners and contribute to productive meetings and working sessions.
The ideal candidate will have strong organizational and follow-through skills, be comfortable managing multiple projects at once, and communicate clearly across teams. They are proactive, adaptable, and able to keep work moving forward even when priorities shift. They are also collaborative, detail-oriented, and interested in building practical project management and coordination skills in a dynamic environment.
Responsibilities:
Project Coordination and Implementation
- Develop and maintain project plans, timelines, and milestones; monitor progress and follow up to keep work moving
- Assist with translation of strategic priorities into actionable tasks and support execution across teams
- Prepare clear, concise project updates tailored to different audiences, including internal staff and external partners
- Support alignment of Strategic Initiatives with agency priorities, workforce needs, and partner goals
- Ensure follow-through on decisions, action items, and commitments across projects
Initiative Support
- Support projects related to agency priorities, including platform, partnership, or implementation efforts
- Assist with pilots, updates, and initiative rollouts
- Support the implementation and ongoing coordination of talent marketplace efforts by assisting with partner engagement, pilot activities, and aligning opportunities with workforce and education needs.
- Support the governance and oversight of the SkillStack platform, including coordinating processes, user roles and alignment with agency priorities
- Provide basic training or guidance to support implementation when needed
Innovation and Continuous Improvement
- Assist in identifying opportunities to improve agency processes, systems, and services.
- Support pilot projects and innovation initiatives
- Research emerging trends and best practices in education, workforce development, and project management
Stakeholder Collaboration and Communication
- Facilitate meetings and working sessions using structured approaches to support alignment, decision-making, and clear next steps
- Build and maintain strong working relationships with internal teams and external partners to support collaboration, trust, and shared progress
- Coordinate communication and maintain clear documentation of decisions, updates, and next steps
- Identify and elevate barriers to progress
Project Reporting and Documentation
- Maintain records in alignment with agency records management requirements, including document organization, version control, and retention practices
- Serve as the agency Records Officer, supporting records management practices and retention coordination
- Maintain project tracking tools or systems to support visibility and coordination
- Prepare reports and documentation to support agency operations
- Assist with coordination of meetings, training, and events
- Support development of materials, including documentation and basic visual assets

- Experience in project management, program support, or administrative roles.
- Typically gained by managing projects, tracking timelines, and supporting implementation of initiatives.
- Experience coordinating work across multiple teams or stakeholders.
- Typically gained by coordinating projects or initiatives that involve multiple groups, facilitating cross-team communication, and ensuring alignment across stakeholders.
- Experience maintaining organized records or documentation systems.
- Typically gained by managing files, tracking documentation, ensuring version control, or following records management or retention practices.
- Experience providing customer service or technical support.
- Typically gained by assisting users, responding to inquiries, and resolving issues in a professional setting.
- Experience developing or delivering training.
- Typically gained by facilitating meetings, workshops, presentations, user support sessions, and/or developing training materials.
- Experience communicating information to diverse audiences.
- Typically gained by preparing reports, presentations, or guidance materials.
Preferred Qualifications:
- Associate or bachelor's degree in education, business, communications, or related field.
- Project management certification
- Knowledge of Idaho's education system or career technical education programs.
- Experience managing or supporting digital or educational platforms.
- Experience with data tracking, reporting, and analysis.
- Experience using technology tools and digital systems, including and not limited to Artificial Intelligence, to improve workflow efficiency, communication, or project management.
