SUMMARY
 
This contract Project Coordinator 2 assignment will provide support and assistance to the Transmission Engineering-Internal Operations Resource and Work Planning org. This assignment will coordinate with all division team members and stakeholder groups for project-level task support and demand and capacity planning. This assignment is in the Resource and Work Planning organization, Internal Operations, Engineering and Technical Service, and Transmission Services.  A successful candidate will have excellent communication skills and a strong background in customer service working with a large, diverse customer base.
 
POSITION RESPONSIBILITIES
  • Project Support:
    • Host recurring meetings with resource teams to gather task progression updates.
    • Host recurring meetings with resource Managers to provide updates on resource demand and capacity status, project compliance metrics, and potential resourcing constraints.
    • Process task updates and closures.
    • Research task and schedule discrepancies and working with appropriate stakeholders to resolve.
    • Validate the assigned resource group’s ability to support the projects on the Portfolio Work Plan.
    • Identify potential SME staffing needs for assigned resource groups and provide recommendations to leadership.
    • Receive and process work requests, including reviewing the request to validate completeness of information, research project resource needs (material, equipment, and personnel), project due dates for potential pairing with another project’s tasks for efficiency, establishing a new project record in SharePoint.
    • Review resource availability, which may include vetting assign project team resources, and sending email notifications to assigned team members and their manager(s), so adjustments can be made if needed.
    • Attend and participate in planning meetings on behalf of the division and provide information about current assignments and resource availability.
    • Review multiple schedules for resource availability and identify duties, tasks, and timing 
    • Recommend updates for MSP schedules and provide updates for resource tasks when needed. Collaborate with managers to validate schedules and make necessary adjustments to schedules as required. Note: Resources are entered into MS ProjectWise as a project resource based on this position’s recommendations; however, corporate may overrule any resource assignment as they deem appropriate.
    • Participate in process improvement efforts if issues, delays, or other obstacles arise during a project.
  • Tracking and Reporting:
    • Utilize routine reports and metrics, gathering information from various systems, such as Asset Suite using Power BI, the division's Current Projects SharePoint site, Transmission Asset Portfolio Management system, etc.
    • Provide report data to Supervisor and customer organizations as needed or as part of established protocol.
    • Collaborate with the division's Data Steward on new reports, as requested, for corporate managers, Project Managers (PMs), Resource Managers, project teams, other cost analysts, and stakeholders.
    • Assist corporate management with improving various division processes for greater efficiency and effectiveness.
    • Conduct formal and informal training. Train inexperienced staff and customers on utilization of PWA and division reports 
Education & Corresponding Experience 
  • Bachelor’s degree in Engineering, Business Administration, Business Management, Organizational Development, Computer Science or other related technical discipline is preferred.
    • With a Bachelor’s Degree in applicable fields, 5 years of experience is required.
    • With an Associate’s Degree in applicable fields, 7 years of experience is required.
    • Without a degree, 9 years of experience is required.
  • Experience must be consistent with the specific requirements of engineering operations and progressively more technical in nature. Individual must be capable of applying a diversified knowledge of principles and practices in assigned technical areas. Requires a working knowledge of automated data systems.
  • Must possess a broad knowledge of engineering operations policies and procedures involving resource management, material and equipment inventory and control, as well as direct work experience, including all aspects of project support. 
Required Skills & Experience 
  • Advance knowledge of Microsoft Project and Project Web App.
  • Working knowledge of Microsoft Office (SharePoint, Excel, Word, Outlook).
  • Read and interpret technical data visualization reports (such as PowerBI). 
Preferred Skills & Experience  
  • SharePoint

  • General familiarity with infrastructure design and construction projects methodology
 Additional Requirements:
  • Valid U.S. Driver’s License is required
  • Worker may occasionally attend field site visits and will adhere to any applicable site-specific safety rules
  • Worker will be expected to occasionally travel to alternative local office spaces for meetings
