Project Assistant

Location: Atlanta, GA
Job Type: Contract-to-Hire

Position Overview

We are seeking an experienced Project Assistant to provide executive-level administrative support to a Global Practice Manager and Leadership Team. This position plays a key role in ensuring continuity of daily global practice and regional office functions and operations while also providing administrative support for project execution as needed.

The ideal candidate is highly organized, detail-oriented, professional, and capable of handling sensitive and confidential information while communicating effectively with individuals at all levels of an organization.

Key Responsibilities

  • Provide high-level administrative support to the Global Practice Manager and Leadership Team.
  • Facilitate smooth communication between practice leadership, internal teams, and internal and external clients, including company executives, client executives, government officials, media, and employees.
  • Assist with calendar management, expense reports, travel arrangements, meeting coordination, and signature routing.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Provide general administrative support for company projects.
  • Gather, compile, verify, and analyze information to prepare memos, letters, emails, reports, presentations, and other documents.
  • Organize and maintain project files, filing systems, and project communications.
  • Provide data entry and other clerical support for projects.
  • Assist with updating record copies, engineering project documentation, and project changes.
  • Maintain the security and confidentiality of calendars, files, and records.
  • Screen, field, prioritize, and manage inbound communications via telephone, mail, and email, resolving critical issues in a timely manner.
  • Prepare a variety of communications, including emails, meeting agendas, and meeting minutes.
  • Facilitate document approvals and processing, including invoices, contracts, and other confidential documents.
  • Monitor, review, and approve standard expenditures to ensure departmental activities are conducted within established budgets.
  • Reserve conference rooms and coordinate client, vendor, and supplier presentations, meetings, and interviews, including room setup and cleanup.
  • Manage the logistics of large group events.
  • Evaluate bids and negotiate contracts of significant value for meeting and celebration venues.
  • Oversee catering and conference room management for division meetings and events.
  • Arrange conference calls and coordinate conference room setup.
  • Coordinate with IT to ensure audio/visual equipment is in working order.
  • Prepare outgoing mailings and labels, including email and fax communications.
  • Perform other administrative and project support duties as assigned.

Required Qualifications

  • High School Diploma or GED required.
  • Minimum of 8 years of relevant administrative or project support experience.
  • Ability to work independently while demonstrating accuracy, reliability, organization, and strong problem-solving skills.
  • Proficiency with Microsoft Word, Excel, Access, and PowerPoint.
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and tasks in a fast-paced environment.
  • Demonstrated ability to communicate effectively with all levels of an organization.
  • Ability to handle sensitive and confidential information with discretion.
