Project Administrator Commercial Contracting
$24$28/hr, based on experience
Temp-to-Hire | Onsite in East Windsor, CT | MonFri 8AM4:30PM
A growing commercial mechanical contractor is looking for a Project Administrator to support a team of Project Managers on the installation/construction side of the business.
Responsibilities
Project Administration:
- Opening jobs, pulling permits, and obtaining COIs
- Processing RFIs, submittals, and project closeouts
- Billing jobs and processing vendor invoices
- Typing proposals and reviewing bid invitations
- Registering client equipment for warranty
- Maintaining the installation schedule and closing out completed jobs
Internal Support & Communication:
- Serve as a key point of contact between Project Managers, field technicians, and outside contractors to keep projects moving
- Track project status and flag issues or delays to the appropriate team members
- Coordinate documentation and information flow across departments
- Support the broader office team with administrative needs as they arise
Qualifications
Required:
- High school diploma or equivalent; Associate's or Bachelor's degree preferred
- 1+ years of administrative experience with a degree, or 3+ years without
- Proficient in Microsoft Word, Excel, and Outlook 365
- Strong math skills comfortable with invoices, billing, and numbers-heavy work
- Highly organized with the ability to manage multiple projects and deadlines at once
- Strong written communication skills; proposal and correspondence writing is a core part of this role
- Comfortable working in a trade/construction office environment alongside PMs and field staff
Nice to Have:
- Experience in contracting, construction, or a trades-related office
- Familiarity with permitting processes or obtaining COIs
- Knowledge of Sage 300 ERP (training provided)
- Adobe Acrobat proficiency
