This position provides high level administrative support to the Executive Director, Workforce Special Programs and Director, Workforce Continuing Education, as well as the professional/instructional staff in associated programs. In addition, this position provides front-line support to students seeking to register for a variety of short-term training classes.

  • This position may have occasional travel between campuses and for training. Occasional after hours may be required.

  • Some evening and weekend work may be required for departmental events and meetings.

Essential Duties

WCE Programming & Operations Responsibilities

  • Take a primary role in course and section lifecycle management, including data entry, contract development, and the preparation of instructional documentation.

  • Conduct rigorous monthly audits of course files, instructor contracts, and attendance records to ensure 100% regulatory compliance.

  • Assist leadership in generating and analyzing data reports to evaluate the effectiveness and viability of public and private occupational extension programming.

  • Oversee the end-to-end preparation of instructor course packets and lead the collection and verification of essential close-out documentation.

  • Provide specialized administrative support for Applied Tech programs, including Manufacturing, Industrial Training, Skilled Trades, Business, and Professional Services.

  • Serve as the primary point of contact for faculty regarding evaluation data entry, problem resolution, and instructional needs.

  • Partner with the WCE Operations team to streamline documentation workflows and maintain high standards of institutional accountability.

Office Management & Technical Support Responsibilities

  • Coordinate office operations to deliver superior customer service to students, faculty, and community partners.

  • Support Accounts Payable with billing inquiries and act as the departmental link to IT for hardware/software troubleshooting and help desk escalations.

Institutional Engagement Responsibilities

  • Actively participate in departmental planning, evaluation, and the implementation of process improvements.

  • Represent the department on assigned college committees and ensure all activities align with institutional policies, procedures, and philosophies.

  • Execute delegated tasks and special projects as assigned to support the evolving needs of the Workforce Continuing Education division.

Minimum Requirements

Required educational background:

  • Associate degree in Business Administration, Office Administration, or related field

Required kind and number years of work experience:

  • Two-year's experience in an office setting regularly engaging with the general public, OR combination of education, experience, and background equivalent to above.

Required knowledge, skills and abilities:

  • Excellent writing and proofreading skills.

  • Excellent customer service/communication skills.

  • Knowledge of standard office procedures and equipment.

  • Knowledge of computer and office applications.

  • Prior experience with Microsoft Office Suite and Google Workspace.

  • Strong organizational skills and ability to manage multiple projects simultaneously.

  • Ability to foster and maintain positive and collaborative relationships with internal and external partners.

  • Ability to effectively communicate orally and in writing to students, parents, colleagues, and the community.

  • Ability to work collaboratively as part of a team.

  • Ability to accurately maintain required documentation and prepare reports.

  • Ability to seek and identify methods for continuous improvement of the program.

Preferred Requirements

  • Experience working at a community college.

  • Experience working in student data management systems like Colleague.

  • Experience in a busy office environment managing multiple tasks at once.
