Reports to: Director of SBELA

This position will remain open for a minimum of seven (7) days. The College reserves the right to close the recruitment at any time after the minimum posting period once a sufficient applicant pool has been established. All classified positions will start their salary at Step A.

The Sophia Bremer Early Learning Academy at Olympic College is seeking a Program Specialist 2 (Front-desk). The Sophia Bremer Early Learning Academy provides quality, comprehensive early learning services for the Olympic College community. Reporting to the director, the Program Specialist 2 supports day-to-day program operations and provides general office and receptionist support. The program specialist operates as part of a direct services team and serves as the program liaison with extensive contacts with families, campus partners, and external parties. Other specific responsibilities of this position include monitoring and tracking budgetary expenses, supporting enrollment activities such as waitlists and contacting prospective families, managing inventory of supplies, coordinating repairs and services with external vendors, submitting work orders, and drafting training and communication materials for a wide variety of internal and external audiences. The program specialist also assists the director in identifying, developing, and articulating program policies and procedures, in addition to being responsible for assuring full compliance with all legal, accreditation, and other standards. The program specialist is expected to meet pre-service requirements upon hire, remain current in training and service requirements, and engage in early childhood education best practices to support children, families, and center staff and operations.

Essential Functions

  • Maintain professional, respectful, and productive relationships with parents, prospective families, and community partners, and provide information regarding program services, policies, and activities.
  • Monitor program enrollment and waitlists in coordination with the center director, including updating classroom rosters, communicating with prospective families, and anticipating enrollment impacts of graduation, licensing requirements, and budgetary considerations
  • Collaborate regularly with staff and outside entities regarding the interpretation and implementation of program policies; in coordination with the director, participate in drafting and establishing program standards and identifying areas for program development.
  • Monitor program activities in relation to established program goals; within established program parameters, determine variances from program standards.
  • Track training requirements of staff and promote training opportunities to program staff.
  • Review program participants' operations and performance to program policies, procedures, practices and conformance with rules and regulations; assist as needed.
  • Coordinate arrangements for program activities and events.
  • Maintain documentation including daily counts and attendance records.
  • Order, receive, and maintain inventory of office supplies as well as supplies to support the center.
  • Assist classroom teachers with breaks and food supervision support as needed.
  • Collaborate and partner with external coaches, including those designated from Head Start, Early Head Start, Early Achievers, and Olympic Educational Service District 114.
  • Participate in meetings with center staff, families, external partners, and specialists, as well as center activities such as graduation and family events, as necessary.
  • Serve as the primary contact through phone, email, and mail communications for internal and external stakeholders, including families, campus staff and faculty, and community partners; receive visitors and maintain a well-organized front office area.
  • Provide support by responding to inquiries regarding program policies, procedures, and services.
  • Attend meetings and/or conferences as the program representative as necessary; develop and make public presentations on program related topics.
  • Coordinate and perform scheduling for others by creating meeting schedules and appointments for department staff and other program events, under the general direction of the director
  • Create correspondence, printed materials, newsletters, visual aids and resources related to center operations.
  • Coordinate with the director regarding draft communications and correspondence to program staff.
  • Maintains and monitors the budget
  • Establish and maintain records in electronic or manual file systems and keep records for legal, licensing, accreditation, grant, and program improvement purposes.
  • Prepare narrative and/or statistical reports regarding program operations.

Qualifications

Minimum Qualifications

  • High school diploma or equivalent
  • Two (2) years of full-time equivalent (FTE) experience working with low-income families.
  • One (1) year of full-time equivalent (FTE) experience working with families from diverse cultures and ethnic backgrounds.

Please note that we are unable to sponsor visas for this position. Only candidates who are currently authorized to work in the United States will be considered.

This is a full-time classified position scheduled to work 40 hours a week, with a salary range of $43,716 - $58,380* annually. All classified positions will start their salary at Step A, when you have completed six months of probation, you will receive a 5 percent pay increase. A collective bargaining agreement exists, and this position is covered by the Washington Public Employees Associate (WPEA) Union. Classified positions qualify for the following benefits:
