The Role 

The Program Manager will serve as a central coordination and execution lead for large-scale travel planning, training coordination, and multi-group operational logistics. This role requires a highly organized, detail-oriented professional with strong Microsoft ecosystem expertise who can manage multiple workstreams, align large groups, and ensure disciplined execution across planning, scheduling, communications, and reporting.

This role is ideal for someone who thrives in complexity, excels at coordination over direct authority, and can keep large groups focused, prepared, and on schedule.

Work Location: US, Hybrid / Remote

The Main Responsibilities

Program & Coordination Management

  • Own and coordinate end-to-end planning for large group travel, training events, and operational sessions (including multi-location and multi-team coordination).
  • Develop and maintain integrated schedules, trackers, run-of-show documents, and contingency plans.
  • Coordinate across stakeholders (operations, HR, training leads, vendors, leadership) to ensure alignment and readiness.
  • Track dependencies, risks, and issues; proactively escalate and resolve blockers.

Travel & Logistics Planning

  • Plan and coordinate travel for large cohorts including flights, lodging, ground transportation, and travel calendars.
  • Ensure compliance with company travel policies and cost controls.
  • Act as a single coordination point for itinerary changes, exceptions, and issue resolution during travel windows.

Training & Event Coordination

  • Support training program logistics, including session scheduling, attendee registration, materials preparation, and onsite/virtual readiness.
  • Coordinate instructors, facilitators, rooms, technology, and attendance tracking.
  • Ensure training communications are clear, timely, and actionable for large audiences.

Microsoft Systems & Tools

  • Leverage Microsoft Office and M365 tools to manage and automate coordination work:
    • Excel for rosters, trackers, budgets, and attendance
    • Outlook for large-scale scheduling and calendar management
    • Teams for communications, files, and collaboration
    • SharePoint / OneDrive for document and version control
    • PowerPoint for leadership-ready readouts and executive summaries
  • Maintain clean, audit-ready documentation and shared artifacts.

Reporting & Communication

  • Produce clear status reports, dashboards, and executive summaries for leadership.
  • Maintain consistent communication cadences with stakeholders and participants.
  • Document lessons learned and continuously improve coordination processes.

Main Requirements

  • 5+ years’ experience in Program Management, Operations Coordination, or Project Management
  • Demonstrated experience coordinating large groups, events, training sessions, or travel logistics
  • Advanced proficiency with Microsoft Excel, Outlook, Teams, PowerPoint, and SharePoint
  • Exceptional organizational skills with the ability to manage multiple parallel workstreams
  • Strong written and verbal communication skills
  • Proven ability to operate in fast-paced, high-change environments

Preferred Qualifications

  • Experience supporting training programs, onboarding events, or workforce ramp-ups
  • Background in operations, field services, or enterprise programs
  • Familiarity with governance, intake, and status reporting forums
  • PMP, PgMP, or comparable program management certification (preferred, not required)

Compensation

This information reflects the anticipated base salary range for this position based on current national data. Minimums and maximums may vary based on location. Individual pay is based on skills, experience and other relevant factors.

 Location Based Pay Ranges: $65,000 – 108,000 USD
