Position Summary
Reporting to the Managing Director, the Program Manager is responsible for the execution, coordination, and continuous improvement of AI in Business Initiatives (AIB) operations, supporting various curricular and co-curricular events programmatic activities. This role focuses on delivery, logistics, accuracy, and scalability, ensuring that AIB programs are executed to a high standard acting as a liaison with key internal and external constituents and ensuring that operational systems can support growing demand. The position is highly execution focused, with responsibility for managing workflows, timelines, communications, and stakeholder coordination across multiple initiatives.

Responsibilities
### Co-Curricular Activities for Degree Students
- Program Manager works collaboratively with the team to manage the planning, execution, and evaluation of student-facing co-curricular programs, including conferences, workshops, speaker series, experiential learning initiatives, and other signature AIB events.
- Oversees pre-event and post-event logistics, scheduling, registration, communications, and on-site execution for assigned programs, ensuring consistency with School policies and Center standards.
- Tracks participation, feedback, and outcomes across programs, administering post-event surveys and preparing summary reports to inform program improvements.
- Implements process improvements to enhance efficiency, participant experience, and program scalability.
### Curricular and Course Support
- Provides operational support for DFI-related courses and curricular pathways, including classroom logistics, speaker coordination, and instructional support.
- Coordinates with faculty, academic departments, and registrar partners to ensure accurate scheduling, materials distribution, and student communications.
- Supports pilot curricular initiatives and interdisciplinary offerings tied to digital transformation and AIB Program Operations and Administration
### Program Operations and Administration
- Manages day-to-day program workflows, timelines, and task tracking across AIB initiatives to support timely and effective execution.
- Maintains program documentation, calendars, and operational playbooks to ensure consistency and continuity.
- Maintains and updates AIB website.
- Coordinates vendor relationships, contracts, and event-related purchasing in compliance with University policies and established procedures.
- Partners with the Financial Planning Office and the Managing Director, responsible for processing and overseeing specific aspects of AIB's expense budget, prepares, tracks, and maintains related records including expense reports and invoices.
- Manages travel and expense reimbursements, and ensures expenses are allocated accurately for financial reconciliation for assigned programs.
### Communications and Engagement Support
- Partners with Center colleagues and School partners on program marketing and communication efforts including website updates, email campaigns, and event promotions.
- Drafts and manages participant communications, registration materials, confirmation emails, and logistical briefings, ensuring accuracy and timely delivery.
- Assists with content development for newsletters, blogs, and social media related to AIB activities, following established messaging, branding, and editorial guidelines.
### Faculty and Team Support
- Provides responsive operational support to faculty affiliated with AIB, ensuring smooth execution of their program-related activities.
- Serves as a reliable point of coordination for Center colleagues and School partners, to support logistics and ensure timely follow-through on program needs.
- Contributes as a collaborative team member, particularly during peak programming periods, and provides support for cross-functional initiatives as needed.
Minimum Qualifications
- Bachelor's degree or equivalent required.
- Minimum of two years of related experience in program coordination, higher education administration, events management, or a related field.
- Demonstrated ability to manage multiple projects simultaneously with strong attention to detail.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to work independently while exercising sound judgment and professionalism.
- Interest in digital transformation, technology, or innovation-related programming preferred.
