Are you a highly organized professional who loves being the go-to problem solver in a busy, dynamic environment? We are looking for an Office Program Coordinator to serve as the welcoming face and key part of our operational support team.


In this role, you will be the vital link connecting our students, faculty, and staff. You will use your critical thinking skills and adaptability to keep our programs running smoothly— whether you are helping a student navigate their day, onboarding new faculty members, or coordinating departmental budgets and travel.


We need a self-motivated, dependable multitasker who thrives on bringing order to complex processes. While ensuring compliance with college policies and state regulations is a key part of the job, your ultimate goal is to create a supportive, efficient, and professional environment for everyone who walks through our doors.


Our dynamic programs include everything from Accounting, Business, and Computer Information Systems to Culinary Arts, Horticulture, Photography, and Construction Management.


This is a classified position reporting to the Administrative Services Manager for the School of Business, Entrepreneurship, and Professional Education.

Responsibilities include, but are not limited to:

Student, Faculty & Visitor Support

  • Provide front office administrative support including welcoming and assisting students, staff and visitors; answering a multi-line phone system, providing directions, answering questions, and scheduling appointments.
  • Work and interact effectively and collaboratively with faculty, staff, external partners, and students from diverse backgrounds.

Financial & Data Administration

  • Process travel, purchase, and payroll requests as well as track and reconcile assigned budgets.

Faculty Coordination & Onboarding

  • Coordinate and track new faculty and staff hires and their onboarding processes.
  • Track and schedule all quarterly faculty evaluations and class observations.

General Office Support 

  • Coordinate small events and meetings; take and transcribe meeting minutes.
  • Maintain internal Google sites and public college web pages, back up for department sites and web pages.


REQUIRED QUALIFICATIONS:

  • High school diploma (or equivalent) AND three years of progressively responsible administrative experience. Note: A certificate or degree in Business Administration, Office Support, or related field may substitute for some of the experience requirement. 
  • Ability to provide administrative/office support with significant use of technology, office operations, and customer service interactions; work collaboratively on projects as part of a team in a complex work environment.
  • Ability to handle sensitive information and communications in a confidential manner, both internally and externally.
  • Excellent written and verbal communication skills, affording clear and effective communication with internal and external stakeholders.
  • Established computer proficiency with intermediate/advanced skills with  Google Applications and Microsoft Office Suite.
  • Ability to work independently and maintain a professional office environment.


DESIRED QUALIFICATIONS:

  • Exceptional attention to detail and organizational, record keeping and documentation skills with the ability to effectively manage multiple priorities and meet deadlines.
  • Demonstrated ability to work effectively with culturally, ethnically and economically diverse populations.
  • Experience with PeopleSoft.


PHYSICAL WORK ENVIRONMENT:

Work will be performed primarily in an office setting, and onsite/in-person. The ability to sit at a desk/computer station, bend, stoop, walk and generally move around the office to consult with others, work within a busy environment and remain focused on tasks. Some tasks require lifting and moving of objects up to 30lbs. Excellent verbal and written communication skills are essential, including the ability to communicate effectively with a diverse population, including non-native English speakers.  This also includes the ability to produce clearly written documents. 

 

WORK SCHEDULE:

40 hours per week, Monday - Friday, 8:00 am - 5:00 pm 


COMPENSATION:  

Salary range 40. Beginning salary is $41,724 - $46,920 annually, with periodic increments to $55,584 annually plus a full state benefits package, which includes tuition waivers for college classes, medical, dental, retirement options and more. Vacation and leave package includes 12 sick days per year, 11 scheduled holidays, 1 personal holiday, 3 personal leave days, and 14 vacation days per year (incremental increases to 24 vacation days per year). This position is overtime eligible when work permits. If scheduled to work holidays, the position will receive Holiday pay.


CONDITIONS OF EMPLOYMENT: 

  • You must document your citizenship or employment authorization within three days of hire.
  • Criminal background check.  Prior to a new hire, a background check including criminal history will be conducted. Information from the background check will not necessarily preclude employment but will be considered in determining the applicant’s suitability and competence to perform in the position.
