What You Will Do

The Weapons Research Services (WRS) Division is seeking an experienced Professional Staff Assistant (PSA) 1 to support the Division Office. The selected candidate will provide direct administrative support to the WRS Division Leader, Staff Operations Manager, and division staff. This individual will work closely with the Staff Operations Manager and administrative team across the division. Because this position requires regular interaction with DDW and ALD management and staff, a high degree of professionalism, discretion, and customer service is essential.

Work is performed in a team-oriented environment that requires collaboration, adaptability, initiative, and a willingness to provide timely support where needed. The selected candidate will help maintain a professional office atmosphere while independently managing responsibilities with minimal supervision. Success in this role requires accuracy, attention to detail, sound judgment, versatility, tact, and the ability to maintain confidentiality in all matters.

The successful candidate must be highly motivated, able to rapidly adjust priorities, work independently, and perform effectively within a broadly defined scope of responsibilities. The ability to establish priorities and complete assignments in accordance with deadlines, commitments, and schedules is essential. This role may also include support for special projects and division-wide initiatives.The selected candidate must exercise discretion when handling sensitive information and work cooperatively in a dynamic and diverse office environment. A positive attitude, professional demeanor, strong dependability, consistent availability, excellent attendance and punctuality, and exceptional customer service skills are required.

In addition, the selected candidate will be expected to assist with onboarding and training new administrative staff within the division by sharing knowledge of division processes, business systems, and administrative best practices.

What You Need

Minimum Job Requirements:


Personal Leadership
Ability to work effectively and calmly under the pressure of multiple deadlines, frequent interruptions, and changing priorities.

Basic knowledge of and experience providing calendar management, planning logistics, resolving schedule conflicts, and coordinating local and cross-organizational meetings.

Ability to use tact and discretion in all matters and maintain confidentiality. Successfully demonstrated ability to organize, prioritize, and follow through to completion on multiple tasks, often under strict deadlines.

Business Systems
Knowledge and experience researching, analyzing, and resolving issues independently and as part of a team. Experience supporting travel requests, clearance processing, procurement activities, and other administrative business functions.

Expert-level proficiency using Microsoft Word, Excel, foreign and domestic travel systems, and other business applications. Highly proficient in preparing, formatting, and editing correspondence, reports, presentations, and other professional documents.

Communication/Collaboration
Excellent interpersonal, verbal, and written communication skills, as demonstrated by the ability to interact effectively with all levels of staff and management.

Demonstrated ability to work effectively both independently and as part of a team. Demonstrated ability to develop networks with other administrative staff and key contacts outside one's own area of expertise, both internal and external to the organization, is key to success in this position.

Customer Service
Demonstrated experience providing exceptional administrative support in a fast-paced and demanding office environment. Proven record of dependability, availability, attendance, punctuality, and customer service excellence.

Demonstrated experience producing accurate work products, appropriately prioritizing assignments, and following through to completion.

Systems Improvement/Operational Initiative
Demonstrated record of taking initiative to improve organizational processes and administrative systems. Ability to identify inefficiencies, develop practical solutions, and drive implementation of improvements that enhance division-wide effectiveness.

Experience taking ownership of shared workflows, reducing operational friction, and promoting continuous improvement. Proven ability to collaborate effectively with other administrative and support staff to develop, implement, and sustain improvements that increase efficiency, consistency, and service quality across the division.
Education/Experience: Position requires a bachelor's degree and 2 years related experience; or an equivalent combination of education and experience directly related to the occupation.

Desired Qualifications:

  • Demonstrated experience in mentoring administrative assistants and other support staff.
  • Demonstrated experience planning and supporting classified meetings, preparing institutional agendas, and transferring clearances.
  • Demonstrated experience with Lab-wide business systems (Oracle, Time and Labor, Concur/Travel, Ariba, Fieldglass).
  • Familiarity with LANL organizational structure, policies, and processes.
  • Knowledge of LANL's administrative policies and procedures.
  • Active DOE Q clearance

Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.

Position commitment
: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1year.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance, and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
