Reports To: Director of School Partnerships 
Department/Team: Michigan Virtual Learning Research Institute (MVLRI) and Partnerships Teams 
Supervisory Responsibilities: None 
FLSA Status: Exempt
Location: Lansing, MI office and remote, per the hybrid work guidelines:  
Posting Salary Range:  $48,000 - $53,000 annually (based on qualifications) 
 
ABOUT THE ROLE:  The Professional Services Coordinator plays a vital cross-functional role supporting both the professional services delivered through the Michigan Virtual Learning and Research Institute and the sales and outreach initiatives led by the Partnerships team.  This individual serves as a critical bridge between departments, managing client relations, logistics, and agreement workflows for K-12 school and district contracts.  Bringing strong project management, scheduling, and communication skills, the Professional Services Coordinator ensures that all outreach and professional service engagements align seamlessly with Michigan Virtual's organizational strategy.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES
  • Engagement & Contract Management: Assists in the execution and tracking of client contracts, digital agreements, and signatures. Partners with the Finance department to request and track invoicing.
  • Data & Contract Analysis: Collaborates across departments to collect, summarize, and report data from multiple organizational systems while assisting with the maintenance of professional service program contracts.
  • Project & Event Coordination: Provides project management and scheduling support to MVLRI team members. Coordinates, plans, and attends conferences, trade shows, webinars, and promotional events.
  • Programming Support: Maintain the events calendar for internal and external MVLRI programming and resource needs.
  • Relationship Management: Cultivates and maintains positive relationships with K-12 schools, districts, intermediate school districts (ISDs), and external vendors (agencies, printers, photographers).
  • Workflow Optimization & AI Integration: Leverages AI tools appropriately to enhance efficiency and creativity in daily workflows, exercising professional judgment to ensure accuracy, ethics, and data privacy.
  • Other duties as assigned. 

REQUIRED EDUCATION, CERTIFICATIONS, & SKILLS (minimum requirements)

  • Education: Bachelor’s degree or an equivalent combination of education and work experience.
  • Experience: 2+ years of experience in project management, outreach support, or inside sales coordination. Demonstrated experience working directly with K-12 schools, districts, or educational organizations.
  • Project Management: Proven ability to coordinate, organize, and support multiple system-wide projects or marketing initiatives simultaneously to meet deadlines.
  • Communication: Outstanding written, oral, and cross-cultural communication skills. Ability to translate complex or technical information into clear, stakeholder-friendly language.
  • Technical Proficiency: Working knowledge of Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and CRM/agreement management software.
  • AI Competency: Familiarity with artificial intelligence (AI) tools and applications to support productivity and improve workflow processes.
  • Logistics: Ability to work a hybrid schedule from the Lansing, MI office at least 2 days per week, with willingness to travel to schools, districts, and conferences withinMichigan.

DESIRED QUALIFICATIONS

  • Training or certification related to project management (PMP, CAPM, etc.).
  • Experience working cross-functionally to ensure high-quality outcomes. 
  • Familiarity with K-12 education procurement, pricing structures, and public relations activities.

WORK ENVIRONMENT AND/OR PHYSICAL DEMANDS

  • The role requires working a hybrid schedule from the Michigan Virtual office in Lansing, MI.
  • The role requires occassional travel to schools, districts, and other educational organizations within Michigan.
  • This role primarily involves working at a computer, participating in virtual and in-person meetings, and communicating with team members and external parties. 
  • Employees may need to remain in a stationary position for extended periods and use standard office equipment.
  • Noise levels are generally low to moderate.
