JOB SUMMARY

The Production Assistant serves as a key strategic support role, bridging Packaging Operations, Warehouse, and Maintenance to ensure efficient daily operations within a wine manufacturing environment. This position is responsible for coordinating inventory, accounts payable, and invoicing processes, ensuring accuracy and timeliness across all transactions.

This role requires hands-on experience with JD Edwards (JDE) ERP systems, including creating purchase orders, receiving materials, processing invoices, and maintaining accurate inventory records. The Administrative Assistant plays a critical role in supporting production continuity by tracking raw materials, verifying incoming shipments, and maintaining organized financial and inventory documentation.

This position demands strong attention to detail, organizational skills, and the ability to collaborate cross-functionally to support operational efficiency and compliance.

This will require approximately two or more hours of daily walking throughout the production and warehouse areas, to track and validate areas.

ESSENTIAL FUNCTIONS

  • Perform regular inventory counts (weekly cycle counts and physical inventories) to ensure accuracy of raw materials, packaging supplies, and finished goods
  • Track and maintain inventory of raw materials including wine filters, applied adhesives, Videojet materials, and packaging components
  • Utilize JD Edwards (JDE) system to manage inventory transactions, including adjustments, receipts, and reporting
  • Create and process Purchase Orders (POs) within JDE to support production and operational needs
  • Receive and verify incoming materials, ensuring quantities and documentation match purchase orders
  • Process and reconcile vendor invoices, supporting accounts payable functions and ensuring accurate coding and timely submission
  • Perform 3-way matching between purchase orders, receiving documents, and invoices to resolve discrepancies
  • Support invoicing processes, ensuring accurate data entry and proper documentation for financial tracking
  • Coordinate with Packaging Operations, Warehouse, and Maintenance teams to ensure material availability and operational continuity
  • Maintain accurate Excel spreadsheets and data logs for inventory tracking, reporting, and audit support
  • Assist with ordering and replenishment of supplies, monitoring stock levels to prevent shortages or delays in production
  • Track, analyze, and report daily and weekly key performance indicators (KPIs) to support operational performance and continuous improvement initiatives.
  • Maintain and update operational spreadsheets and data management tools, ensuring accuracy, consistency, and timely reporting.
  • Facilitate and/or lead routine department meetings, including preparation of materials, documentation of discussion points, and follow-up on assigned actions.
  • Develop, update, and manage daily and weekly action logs to ensure accountability, track progress, and drive closure of identified issues.
  • Monitor and maintain breakroom and departmental inventory levels, coordinating replenishment to ensure consistent availability of supplies.
  • Support cross-functional communication by providing organized data, meeting records, and status updates to stakeholders.

QUALIFICATIONS

  • Must be 18 years or older at time of hire.
  • High school diploma or GED equivalent required. Bachelor's degree in business, Ag Business, Operations, Accounting, Finance, Engineering, or 3-5 years related field or equivalent experience.
  • Ability to be a team player in a dynamic, fast-paced environment.
  • Must be able to interact and effectively communicate with all personnel and peers in a team environment.
  • Demonstrated understanding of process flows.
  • Must be able to juggle multiple priorities with tight deadlines.
  • Must be self-motivated, articulate, empowered, and detail orientated.
  • Demonstrated ability to adapt/respond in an environment of constant change.
  • Strong written and verbal communication skills.
  • Demonstrate history of reliable attendance.
  • Strong PC skills (Excel, Word, Outlook)
  • High level of energy and sense of urgency.
  • Attention to detail, accuracy in both numerical and written.
  • Knowledge of TWG software programs. J.D. Edwards/ERP.

COMPENSATION

  • Hourly Pay Range Posted: $22.07 - $33.13/hr.
  • Actual compensation will be based on factors such as experience, skills, knowledge, and abilities; education; and other position-related factors.
