Description:

As a Product Operations Specialist, you drive one or more key projects and may contribute to a few other initiatives simultaneously as a working team member. Your work includes driving day-to-day execution and providing input into overall project direction, as well as playing a key role with analytical tasks and processes. You create quantifiable impact through a range of possible metrics on individual projects, and by running smooth and efficient working processes at the project level. You clearly define core issues and push the team's thinking forward in output and deliverables, creating analyses and deliverables that are easy to understand and error-free. You manage your own time carefully and can operate independently to deliver outcomes for clearly scoped work; you also provide guidance to peers and contribute to the team's ability to navigate complexity. You influence without authority, leveraging strong relationships and a proven track record for thoughtful execution to collaborate effectively across functions and teams. You possess an understanding of the organization's broader goals and integrate across related organization efforts to drive broader impact.

Responsibilities include:

  • Provide regular competitive and trending news/insights on the business and competitive landscape to inform leadership's recommendations. Run and implement analytical efforts for broader or cross-functional projects, programs, and strategies that have direct and meaningful impact on the business.
  • Proactively identify competitive intelligence and external industry trends and consider implications on product direction/strategy. Define and monitor key strategic trends/inputs (e.g., OKRs, metrics) to ensure strategy is on track, translating them into actionable recommendations to senior leaders when needed.
  • Proactively identify problems and issues across organizations and create programs and processes to solve them. Oversee annual planning mechanics (e.g., HC, Opex) for a product or technology area. Manage HC, OKRs, and strategic communications to ensure strategy is on track.
  • Manage key initiatives from inception to completion, including team-wide initiatives on projects to drive alignment and increase velocity.
  • Work closely with function leaders, product managers, and product area leadership to drive operationalization of recommendations.
  • Align and cascade communications across the business, especially strategic narratives and business reviews through partnering with Communications and Marketing (and other relevant cross-functional partners).
  • Create a strong network of relationships to bring skills and expertise that help support leadership and the larger team.
  • Establish and drive operating processes and tools for effectively managing the organization (e.g., budgeting, planning, reviewing). Actively participate in project/program design sessions. Distribute timely and accurate updates that are appropriately tailored to the specific audience.
  • Proactively identify issues of concern across the organization and keep management informed of key issues and changes that may impact expected business results. Rapidly develop an early point of view on and solutions for short-term/ad hoc/emergent issues.
  • Quickly establish credibility across several modules due to a high level of familiarity and experience with concepts or ideas.
  • Comprehensive knowledge of core products and technologies for relevant space/product areas and the ability to translate technical issues and determine where it needs immediate resolution (via escalations OR let it run its course of action).
  • Synthesize major decisions for communication between senior management and within the broader organization.
  • Drive strategic analysis, defining ways to optimize business performance and ensure best-in-class execution within relevant PA, function, or sub-function.

Key Responsibilities:

  • Block & Tackle: Protect the Leadership team by being the initial point of contact for meeting requests, information, decisions, program issues, and blockers across the organization.
  • Special Projects: Act as the Program Manager on key high priority projects and/or those that require operational rigor/additional support.
  • Executive Communications: Deliver program and resource updates directly to executive stakeholders on behalf of the team.
  • Operationalize key meetings & review forums: Schedule, coordinate the team, quality check artifacts & chair key meetings.
  • Track commitments: Keep a birds-eye view on all workstreams across programs, tracking details across multiple artifacts, and ensuring changes are clearly communicated to relevant stakeholders.
  • Planning: Lead the product team in annual planning cycles, and ensure successful quarterly engineering commits.
  • Budgets: Own the travel and expenses budget including; forecasting, approvals, and actuals reporting.
  • Program Reporting: Own and execute on recurring reports including; decision logs, program newsletters, OKR scoring & executive summaries.
