Position Overview:
As the Procurement & Vendor Management Manager, you will play a critical role in overseeing purchasing operations, supplier partnerships, and strategic sourcing initiatives. Working closely with leadership, finance, and operations teams, you will help drive cost-saving strategies, negotiate vendor agreements, and support the organization's upcoming expansion into a new commissary kitchen facility in Midtown Manhattan. This is an opportunity to combine analytical thinking, relationship management, and operational leadership in a highly visible role.

Responsibilities of the Procurement & Vendor Management Manager:
  • Manage vendor relationships and serve as the primary point of contact for food service suppliers and distributors.
  • Negotiate contracts, pricing agreements, and service terms to achieve measurable cost savings.
  • Analyze purchasing data, spending patterns, and vendor performance to identify opportunities for operational efficiencies.
  • Develop sourcing strategies designed to reduce procurement costs while maintaining quality and service standards.
  • Oversee purchasing activities for food, kitchen supplies, disposable products, nutrition programs, and operational materials.
  • Coordinate purchasing schedules to ensure uninterrupted kitchen and program operations.
  • Research and evaluate new vendors, products, and sourcing opportunities.
  • Monitor contract compliance, supplier performance, and pricing structures.
  • Partner with the Finance and Operations teams on procurement planning, forecasting, and budgeting initiatives.
  • Review purchase requests, invoices, and procurement documentation for accuracy and compliance.
  • Prepare reports on purchasing trends, cost savings, vendor performance, and procurement activities.
  • Support the procurement needs associated with the organization's new kitchen expansion project.
Required Experience/Skills for the Procurement & Vendor Management Manager:
  • 3 - 5+ years of experience in procurement, purchasing, vendor management, supply chain, or food service operations.
  • Proven experience negotiating contracts and managing supplier relationships.
  • Strong analytical skills with the ability to review spend data and identify cost-saving opportunities.
  • Experience managing purchasing budgets and procurement processes.
  • Advanced Microsoft Excel skills and experience working with reporting and data analysis.
  • Strong communication, negotiation, and relationship-building abilities.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Excellent organizational and problem-solving skills.
Preferred Experience/Skills for the Procurement & Vendor Management Manager:
  • Experience within nonprofit organizations, hospitality, catering, commissary kitchens, food service operations, or institutional dining environments.
  • Experience managing food vendors and large-scale purchasing programs.
  • Knowledge of inventory management and procurement best practices.
  • Experience supporting facility expansions or operational growth initiatives.
  • Familiarity with government-funded programs or grant-funded procurement requirements.
Education Requirements:
  • Bachelor's degree in Business Administration, Supply Chain Management, Operations, Hospitality Management, or a related field is preferred.
  • Equivalent combination of education and relevant procurement experience will be considered.
