Position Summary

ProChem, Inc. is seeking a highly organized and detail-oriented Project Procurement & Coordination Specialist to support our wastewater treatment, water reuse, and industrial process systems projects.

This role combines procurement, project coordination, and administrative support responsibilities. The successful candidate will work closely with Project Managers, Engineers, Fabrication, and Vendors to ensure materials are purchased, tracked, and delivered on time while helping maintain project schedules and documentation.

This position is ideal for someone who enjoys managing details, coordinating with multiple stakeholders, solving problems, and helping projects move efficiently from design through startup. This position reports to the Senior Project Engineer in the Water Systems business unit.

 

Key Responsibilities

  • Obtain vendor quotations and compare pricing, lead times, and technical requirements.
  • Create and manage purchase orders for project materials and equipment.
  • Track open purchase orders and follow up with vendors regarding delivery status, lead times, and shipment schedules.
  • Expedite critical materials to support fabrication, startup, and construction schedules.
  • Maintain accurate procurement records and project documentation.
  • Coordinate with Project Managers and Engineers to ensure material requirements are understood and communicated.
  • Assist with project scheduling, status tracking, and action item management.
  • Monitor long-lead equipment and proactively identify potential schedule risks.
  • Coordinate shipments, deliveries, and logistics with vendors and project teams.
  • Support project closeout documentation and turnover packages.
  • Participate in project meetings and communicate procurement status updates.
  • Maintain vendor contact information and assist in developing supplier relationships.
  • Support continuous improvement efforts related to procurement and project execution processes.


 

Preferred Qualifications

  • 2+ years of experience in procurement, project coordination, inside sales, customer service, operations, construction administration, or a related field.
  • Strong organizational and follow-up skills.
  • Ability to manage multiple projects and priorities simultaneously.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office, particularly Excel and Outlook.
  • Experience working with ERP systems, purchasing systems, Smartsheet, or project management software is a plus.
  • Ability to learn technical products and industrial equipment.
  • Self-motivated with strong attention to detail and a proactive approach to problem solving.

What Success Looks Like

A successful candidate will help ensure project materials arrive when needed, provide visibility into procurement status, reduce administrative burden on Project Managers and Engineers, and contribute to the successful execution of ProChem projects. Growth potential for this position exists within two tracks: departmental oversight within the Procurement department or technical track advancement in the Project Management department.

 

Salary Range: $50,000 - $70,000
