Purpose:
The Procurement Manager provides operational direction to the Procurement Team supporting all hotel properties across North America. This leader will coach and develop the Procurement staff while collaborating within the Procure to Pay (P2P) team. This position ensures timely and accurate processing of all purchase orders to ensure all orders are in alignment with corporate standards. This position actively participates in developing process improvements, and ensuring business process mapping is up to date. The Procurement Manager reports to the Senior Procurement Manager.
Essential Functions and Responsibilities:
- Supervise the team of procurement buyers and senior procurement buyers, averaging between 6-10 individuals.
- Assigns and monitors work to ensure proper balance and maximum efficiency of team.
- Hold monthly 1:1 meetings with each direct report to keep the line of communication open for discussions, coaching and feedback in addition to instant coaching when necessary.
- Provide day to day management of all components and SLAs of Procurement to ensure completeness, accuracy and timeliness. Includes but not limited to all property's product adds, discrepancy forms, RMA forms and order placement.
- Audit PO follow up monthly to ensure task is completed timely and comprehensive of all necessary items.
- Manages escalation and resolution of order issues from buyers, properties, sourcing, accounts payable and vendors.
- Review pricing and assist in the reduction of products not quoted to improve the accuracy of the database as well as the visibility of the property to see anticipated cost of product.
- Placement, confirmation and deposit processing of all Local Capital purchase orders.
- Maintain quote storage to ensure only active quotes are available for buyers to utilize.
- Process and resolve invoice discrepancies pertaining to pricing, no PO, unmatched credits, unit of measure, and vendor issues.
- Analyze report to track trends to address with suppliers to decrease future invoice discrepancies.
- Manage special projects and program rollouts.
- Analyze reports for supplier compliance, workload review, project assignment, improve database accuracy, etc.
- Builds strong relationships with hotel property leaders to ensure their needs are met and concerns are addressed in a timely and professional manner.
- Builds strong relationships with suppliers for a mutually beneficial partnership.
- Maintain strong environment of internal controls and best practices by regularly testing and auditing.
- Partner with Sourcing department on daily basis on products, re-sourcing, brand standards, suppliers and supplier issue escalation to meet end goal of servicing our properties.
- Assist in statement review for credit holds until account and order release.
- Assist when needed to help with buyer and senior buyer roles including processing orders, product adds, product modifications, vendor information, purchasing & outlet templates and pricing.
Qualifications:
- Minimum of 2 years of supervisor or management level experience
- Associates Degree desired or equivalent work experience
