Procurement Coordinator
Description
The Procurement Coordinator provides essential support to the Procurement department by assisting with daily operational activities. This role is responsible for routine follow-ups, researching rejected invoices, reviewing and validating marketing invoices and supporting documentation, and ensuring accuracy and compliance across procurement processes.
Key Responsibilities
Review, validate, and process payment requests for marketing invoices.
Verify the issuance and execution of marketing activities.
Perform monthly reconciliations and prepare reports for authorization and invoice duplication identification.
Ensure marketing activities are accurately documented through reporting and random item validation.
Additional Responsibilities:
Daily
Review payment requests for marketing invoices.
Track invoices for all divisions, including billing items.
Monitor the status of manual invoices.
Follow up with Marketing on open invoices until all required supporting documentation is complete.
Weekly
Update invoice status reports received from Genpact.
Follow up via email regarding rejected invoices.
Download and review BQMS e-invoices; reject invoices with insufficient or incomplete documentation.
Monthly
Complete delivery confirmation reports with Project Owners.
Download and review promoters' supporting documentation for monthly checklists.
As Needed
Follow up on delivery confirmation discrepancies with vendors.
Analyze, register, and validate supporting documentation provided by the Marketing department.
Provide ongoing support to the MX Marketing department.
Coordinate meetings and conference room reservations.
