Job Description

Performs difficult skilled administrative support work accomplishing the specialized processing of information, documents or materials, and related work as apparent or assigned. Work is performed under the general direction of the WIC Program Manager. Continuous supervision is exercised over Processing Assistant.

Position Responsibilities

  • Supervise, train and evaluate the performance of administrative support staff within the division.
  • Review, develop, and revise polices, procedures, quality control standards and guidelines to ensure staff is complying with program policies and procedures.
  • Monitor and audit records and procedures of all processing staff within the program on a quarterly basis for in-house audits and during annual external audits
  • Coordinate activities for WIC-authorized vendors, such as processing applications and required documentation, providing orientation and annual training, monitoring for compliance with regulations and for compliance through regular monitoring, and assisting with other administrative functions as needed
  • Provide operational and frontline support by working within the WIC clinic as needed to ensure continuity of services. This includes covering frontline responsibilities during staff absences, peak workload periods, and other operational needs to maintain efficient workflow, appropriate staffing levels, and high-quality patient service. This includes the expectation to remain proficency in frontline processes and serve as a resource to staff while balancing supervisory responsibilities.
  • Use a variety of automated office systems to establish, retrieve, verify, research, update, and/or authorize processing actions
  • Identify and resolve problems for program applicants and participants
  • Maintain and manage statistical, financial. and/or other recordkeeping files. Receive and provide information to the public
  • Performs assigned functions as a Disaster Ready Team (DRT) member
  • Performs related duties as determined by management

Qualifications

Substantive knowledge of office or work unit procedures, methods and practices. Substantive knowledge of and ability to use correct grammar, vocabulary, spelling, proofreading and office terminology to compose and/or proofread correspondence, reports and materials. Substantive knowledge of accounting procedures, applicable mathematics and their application in the work environment. Skill in communicating effectively both orally and in writing. Considerable ability to record, compile, summarize and analyze data. Considerable ability to review and process information to determine conclusions, actions or compliance with applicable laws, rules or regulations. Considerable ability to analyze work situations and interpret program content in making decisions and explaining policies, regulations and programs. Considerable ability to exercise judgment, discretion and negotiation skills in problem situations. Ability to learn, interpret and explain policies, regulations and programs. Ability to independently respond to inquiries and coordinate a variety of resources in acquiring and disseminating information. Ability to train and manage a group of employees.

Education, Experience, and Special Requirements

Associates/Technical degree with coursework in secretarial science or business administration, or related field and moderate experience as an office assistant or secretary, or equivalent combination of education and experience.

English-Spanish Bilingual preferred.

Valid drivers license.

Salary will be determined based on qualifications, internal equity, budget, and market consideration.

North Carolina Local Governmental Employees Retirement System

Eligible employees are automatically enrolled in the retirement system and must contribute 6% of their gross salary each pay period. Once eligibility requirements are met, employees will be able to receive monthly payments for life based on their salary, age, and years of service credit.

NC401k

The County contributes 1% of employees gross salary into the 401(k) account regardless of the employees deferral amount. In addition, the County matches employee deferrals up to an additional 4%.

Vacation Leave

Regular full-time employees earn 13.5 days of vacation leave per year. With each 5-year increment of employment, vacation accrual increases.

Sick Leave

Regular full-time employees earn 12 days of sick leave per year.

Paid Holidays

County employees receive paid holidays annually. The Board of County Commissioners approves and may adjust the schedule as deemed necessary.
