Johnston County Department of Social Services has an immediate opening for a Processing Assistant III.

Johnston County Department of Social Services is seeking a highly motivated self-starter to work with the Medicaid Division Director and other management staff. This employee will need to have extensive experience in Microsoft Office and Google Workspace with proficiency in Word, Excel, Docs, and Sheets. The person will be responsible for data collection and entry into local and state systems, taking minutes, proofreading materials, scheduling, and disseminating information. This position can be cross trained to serve as a receptionist and rotate mail pickup and delivery when needed, greet customers and visitors and assist with directing them to the appropriate location and or services needed.

Periodic performance of emergency on-call duties may also be required. Performs other duties of a similar nature and level as assigned.

Duties and Responsibilities

The ideal candidate will demonstrate professionalism, the ability to multi-task, be people-oriented, and work effectively in a fast-paced environment. Strong verbal and written communication skills are important for interacting with internal and external customers. Excellent organization and computer skills are a must with attention to detail and accuracy.

Essential duties and responsibilities include but are not limited to the following:

  • Providing a variety of office support and technical assistance to accomplish mail flow throughout the agency.
  • Receiving, prepping and scanning mail into the electronic data management system.
  • Interacting with internal and external customers in regards to supply requests and orders, delivery of mail, and questions regarding items scanned.
  • The person selected for this position must perform the above duties while ensuring that timeliness and documentation requirements are maintained as mandated by State and County regulations.
  • Performs other duties of a similar nature and level as assigned.
  • Person selected must be able to lift at least 30lbs. and have an valid North Carolina driver's license.

Knowledge, Skills and Abilities

  • General knowledge of office or wok unit procedures, methods and practices.
  • General knowledge of and ability to use correct spelling, punctuation and specialized vocabulary; ability to proofread.
  • General knowledge of office accounting, database management, and record keeping procedures, mathematics and their application in the work environment.
  • Ability to use spreadsheet software applications such as Microsoft Excel or Google Sheets.
  • Ability to learn and apply a variety of guidelines.
  • Ability to properly handle confidential and sensitive information.
  • Ability to use a variety of office equipment
  • Ability to work with people with courtesy and tact.
  • Ability to screen communications based on predetermined guidelines to independently respond or route inquiries.
  • Ability to record and compile information based on general guidelines.
  • Ability to gather and give information and instructions regarding the work process or procedures.
  • Ability to balance and reconcile figures.
  • May require ability to coordinate work of other support staff, student workers or volunteers.
  • Ability to learn to use specialized equipment.

Desired Education and Experience

High School Diploma or equivalent and demonstrated possession of knowledge, skills and abilities gained through at least one year of office assistant/secretarial experience; or an equivalent combination of training and experience.

Preferred Qualifications:

Associates Degree with extensive advanced experience and knowledge of Microsoft Office and Google Workspace, such as customizing page layouts, catering templates, capturing and recording data, using shortcuts and formula functions, building charts and graphs, sorting and filtering data.

Preference will be given to individuals who have executive assistant experience.
