Job Summary

We are looking for a highly organized and friendly Dental Receptionist to join our front office team. In this essential role, you will be the primary point of contact for our patients, creating a warm and welcoming atmosphere as soon as they arrive. You will work closely with our clinical staff to coordinate patient care, streamline daily administrative tasks, and manage patient records, accounts, and insurance processing. Key Responsibilities


  • Patient Experience: Welcome patients warmly, manage the intake process, and coordinate check-in and check-out procedures.
  • Schedule Coordination: Oversee the practice’s booking system, schedule and confirm appointments, and optimize chair time for efficiency.
  • Records Management: Establish and securely maintain both digital and physical patient records while upholding strict confidentiality.
  • Financial Administration: Process patient payments, manage accounts, issue billing statements, and log daily transactions accurately.
  • Insurance Coordination: Verify insurance coverage, calculate co-pays, submit claims, and manage pre-determinations effectively.
  • Patient Follow-Up: Conduct outreach for treatment reminders, appointment recalls, and post-procedure check-ins to ensure continuity of care.
  • Team Collaboration: Act as an administrative liaison among patients, dentists, dental hygienists, and support staff to facilitate smooth operations.

Qualifications & Skills

Experience: Prior experience as a receptionist in a dental or medical office is highly preferred.
Organization: Strong problem-solving abilities and exceptional organizational skills to manage multiple priorities efficiently.
Adaptability: Ability to remain calm, focused, and precise in fast-paced medical settings.
Communication: Excellent verbal and written communication skills and a polished, professional telephone manner.
Interpersonal Skills: High level of empathy and compassion to ease patient anxiety and build lasting rapport.
Technical Savvy: Proficiency with general office computer systems; experience with dental practice management software (e.g., Open Dental) is a major plus.
