Purpose of Position:

Effectively multitask, coordinate and support the daily management of print & inventory services for all of the Word & Brown Companies. The position will also support other business related duties as assigned.

Essential Functions:

  • Prioritize and manage multiple tasks simultaneously while consistently meeting departmental objectives and deadlines.

Print Operations

  • Process and print daily, weekly, and monthly materials, including but not limited to termination certifications, employee welcome letters, renewals, invoices, and broker commission checks.
  • Process, print and fulfill Marketing, Sales, IT and Operations Ad-hoc print and material requests.
  • Coordinate print room workflows and schedules to ensure all turnaround times are met.
  • Assist with group material requests, special print projects, and renewal material fulfillment.
  • Operate binding and finishing equipment for quotes and other materials
  • Inspect completed work to ensure quality, accuracy, and completeness.

Inventory and Logistics

  • Order, maintain, and monitor inventory of print room and warehouse supplies, including toner, staple cartridges, labels, mail trays, and mail tubs.
  • Perform weekly and monthly warehouse counts; maintain accurate inventory records and prepare inventory reports.
  • Support vendor material ordering such as envelopes, folders, paper and other marketing materials.
  • Create GLS shipping labels and required mailing documentation.
  • Coordinate and support vendor pickups, deliveries, and on-site material distribution.
  • Perform routine housekeeping duties to maintain a clean, safe, and organized print and warehouse environment.

Equipment and Vendor Support

  • Request and coordinate service calls for print room equipment, clearly diagnosing and communicating issues to external vendors.

Documentation and Team Collaboration

  • Assist with creating, updating, and maintaining Standard Operating Procedures (SOPs).
  • Assist in the fulfillment of Cal Choice and Choice Builder monthly renewals.
  • Assist with unscheduled Marketing initiatives.

  • Be available to work overtime on short notice based on business requirements.

  • Perform other business-related duties as assigned.

Knowledge, Skills & Abilities Required:

  • Proficient verbal and written communication skills.
  • Ability to support, interface, and communicate with various clients and organizations in person, via email, and by telephone.
  • Strong attention to detail with exceptional organizational skills.
  • Ability to prioritize, manage time effectively, and handle multiple tasks simultaneously.
  • Ability to collaborate and communicate professionally with all levels of leadership, employees, clients, and vendors.
  • Self guided and highly motivated, with the ability to follow directions.
  • Demonstrated proficiency in Microsoft Office 365 tools, including SharePoint, Teams, Outlook, Excel, and Word.
  • Ability to work well in a fast paced, deadline driven environment.
  • Knowledge of the health insurance industry and prior customer service experience preferred.
  • Ability to multitask effectively.
  • Light mechanical knowledge of machinery helpful
  • Experience working with high capacity folder inserters and printers preferred
  • Experience working with print processing machines preferred
  • Ability to work overtime as requested by management

Educational Requirements:

  • High school diploma or equivalent required.

Physical Requirements:

Must be able to sit for extended periods of time and occasional standing and walking. Must have adequate hearing for phone work. Vision requirements include close vision and the ability to adjust focus. Must be able to communicate effectively in English. Must be able to use a keyboard and other office equipment. Ability to lift up to 50 pounds occasionally.
