Description

This position supports the early learning department with preschool enrollment documentation and record keeping required through the ECEAP program. Effectively communicate with a variety of stake holders including offices managers, nurses, teachers, building administrators, early learning leadership team, community members, and families. Works independently, receiving minimum supervision and guidance.

Responsibilities

  • Assist the building office manager in providing essential information collected during the enrollment process.
  • Process preschool applications and registration documents.
  • Maintain organized waiting list for incoming preschool students.
  • Assist in compiling data for program reports to ensure compliance and efficiency.
  • Assist in monitoring preschool student attendance and ensuring preschool rosters are accurate on a regular basis.
  • Maintain essential preschool documents, records, and confidential files for children and families.
  • Collect and report health information such as Hearing, Vision, Dental, and Well-Child Exams.
  • Actively participate in school and team collaboration meetings, as well as other building and district gatherings as directed.
  • Demonstrate strong oral and written communication skills within a team environment.
  • Engage respectfully and effectively with diverse populations and families from varying social and economic backgrounds.
  • Engage with families while collecting sensitive information and maintaining confidentiality.
  • Maintain professional and ethical boundaries in all interactions with families and colleagues.
  • Other related duties as assigned.

Qualifications

  • High school diploma or equivalent; additional secretarial courses preferred.
  • Minimum two years of recent office work experience required, School District or data processing experience preferred.
  • Must provide a negative TB test (within the last 12 months) and proof of MMR immunization: immunity or certified exemption, required upon hiring.
  • Must complete DCYF ECEAP training as needed. Willingness to attend all Early Learning specific trainings with the state when required to by the program.
  • Ability to accurately type 40 words per minute.
  • Basic level knowledge of general computer skills, including Microsoft office programs, spreadsheet programs, financial software (i.e., Intouch), single point of entry software, and student information system (i.e., PowerSchool) experience preferred.
  • Demonstrated accuracy in record keeping skills.

  • Work Schedule - Days and hours (listed above) are subject to change depending on program and district needs.

  • Stipends, Leave Accruals and Holidays - Stipends, leaves and paid holidays are in accordance with the applicable collective bargaining agreement Collective Bargaining Agreementsas negotiated.

When employees meet plan requirements and retire, they are guaranteed a monthly benefit for the rest of their life from the employer-funded pension.

  • Employees can also participate in voluntary savings programs to increase retirement savings such as the DRS Deferred Compensation Program or by participating in a 403(b) retirement plan through the District's plan manager, OMNI.
