The Impact

The Practice Support Specialist is a pivotal role within our firm. Our advisors rely on your expertise to ensure our clients receive the world-class service we promise them. By taking ownership of the new business workflow, streamlining complex administrative processes, and maintaining proactive communication, you act as the critical bridge that accelerates business fulfillment and strengthens long-term client trust.

The Responsibilities

  • Workflow Ownership: Manage the end-to-end processing and workflow for all lines of business, including insurance and investments.
  • Data Management & Processing: Execute precise data entry for insurance and investment applications (Life, Disability Income, Fixed/Variable Annuities, Mutual Funds, Wealth Management, and Brokerage accounts).
  • Digital Operations: Prepare, package, and track comprehensive application bundles via DocuSign for advisors and clients.
  • Strategic Liaison: Act as the primary point of contact between financial advisors and product providers to resolve outstanding items and accelerate underwriting/fulfillment requirements.
  • Proactive Follow-up: Track and coordinate medical exams, Attending Physician Statements (APS), and investment-related service requests.
  • Practice Management: Assist in scheduling client appointments, managing team calendars, and professionally routing inbound calls.
  • Clerical Excellence: Handle essential office duties including photocopying, scanning, filing, and managing special projects as needed.

The Qualifications

  • Experience: Multiple years of operational support experience, preferably working alongside executive-level producers with a high volume of existing clients.
  • Industry Knowledge: Deep familiarity with financial products (Mutual Funds, Investments, Annuities, Life Insurance) and their supporting operational systems is highly preferred.
  • Core Skills: Exceptional written and verbal communication skills, with a high level of efficiency and an uncompromising attention to detail.
  • Technical Proficiency: Advanced skills in Microsoft Office (Excel, SharePoint), Adobe Acrobat, and digital signature platforms (DocuSign).
  • Attributes: A self-starter who problem-solves independently in a fast-paced environment, balances multiple priorities with a sense of urgency, and maintains strict confidentiality.
  • Eligibility: Must be a U.S. citizen or permanent resident.
