Summary The Practice Supervisor is responsible for developing, planning, organizing, implementing, and directing the day-to-day operations and activities of responsible clinic locations. Except for external meetings, the Practice Supervisor is expected to spend the vast majority of their time in the assigned clinic location.
Previous Experience Required Prior health care-related supervisory experience preferred. Excellent written, verbal communication, and presentation skills required. Strong organizational and financial backgrounds are required. Strong analytical skills and attention to detail are required.
Specialized or Technical Education Required Three years of supervisor experience or five years of relevant healthcare experience required. A working knowledge of the physician billing and collection function, the managed care function as it pertains to physician services, and federal healthcare regulations pertaining to the Medicare and Medicaid programs preferred.
Manual or Physical Skill Required Must be capable of performing all areas of skill required in the day-to-day management of clinic operations and services. Physical Effort Required: Strength, Light Push Occasionally, Pull Occasionally, Carry Frequently, Lift Frequently, Sit Frequently, Stand Frequently, Walk Frequently.
Responsibilities
By coordination with direct supervisor, fellow employees, manages the day-to-day operations of the assigned clinics, including but not limited to: • Staffing • Patient scheduling • Workflow • Facilities • Payroll • Purchasing • Managerial accounting • Productivity • Customer service issues and/or personnel issues in conjunction with the Director.
Participates in the development and implementation of Clinic-specific strategies and tactics via the Site-Specific Action Plans.
Optimizes the integrated electronic medical record/physician practice management system.
Ensures high levels of quality of care and service for patients by planning, implementing, and communicating operational procedures at all assigned clinics.
Identifies and monitors staffing needs, allocates resources, and establishes work schedules.
Evaluates, trains, counsels, and disciplines clinic staff as necessary to accomplish organizational goals.
Leads all appropriate employee competency assessment and training within assigned areas of responsibility.
Participates in the development of policies and procedures in conjunction with Director. Monitors compliance with same.
Values and involves clinic staff in establishing goals and monitoring achievement. Regularly solicits feedback from clinic staff regarding performance, customer service issues, needs, or ideas for improvement.
Comprehends and is familiar with financial indicators such as clinic financial statements, cost-revenue projections, budget reports, and other clinic statistical data.
Oversees service and diagnosis coding audits.
Plans, organizes, and implements systems to ensure efficient and effective delivery of care in clinic.
Works with various leaders of Revenue Cycle to optimize the revenue cycle and ensure proper and accurate billing, coding, and collection.
Works with Operational Director to prepare and submit the clinic operating and capital budgets for approval for each assigned clinic cost center. Ensures assigned clinics operate within approved budgets.
Works to optimize the electronic health record and practice management system. Allocates resources required to effectively operate practice management system and electronic health record, and ensures all clinic providers and staff are appropriately trained.
Allocates adequate time and resources for clinic staff to participate in performance improvement activities and activities to improve patient safety.
Attends and participates in all physician operations committee POC meetings. Facilitates staff meetings.
Assists with the orientation and training of employees.
Comply with all applicable Policies and Procedures.
Promote superior customer service by: • Serving as a role model for customer service • Maintaining good working relationships with patients, visitors, physicians, and employees of the clinic as well as all other areas • Building a sense of teamwork within the clinic • Timely follow-up with patients, family members, physicians, and clinic staff
Monitors and processes follow-up on all patient inquiries and complaints. Reports all issues and resolutions to direct supervisor.
Performs other duties as assigned.
