Purpose of Position: Responsible for management of all phases of office operations for a multiple physician practice. Provide support in an efficient and effective manner to clinicians; ensures accurate maintenance of medical and administrative records. Liaison between clinicians and billing service to assure accurate claim entry and reimbursement.

Description: · Prioritizes patient access to physicians, providers, and ancillary care services

· Ensures that office operations conform to principles of good clinical patient care; create and monitor office systems that promote customer service and customer satisfaction

· Serves as a conduit for bi-directional communication between physicians, providers, support team members, and management. Communicates frequently utilizing team huddles, staff meetings, email communications, and other mediums as appropriate and required.

· Review patient satisfaction results monthly and implement action plans to maintain and improve excellent patient care at the practice. Ensures that customer service standards are implemented for all positions.

· Conduct efforts to improve quality and performance measurement and improvement in the practice(s).

· Review monthly "dashboard" reports on key performance indicators and manage practice to meet and exceed targets

· Ensures that incoming calls are handled in an efficient, customer friendly manner, managing the flow of calls to proper staff members, maintain the messaging system

· Ensures both clinical and non-clinical staff follow standard processes and workflows for documentation and patient care. Implement new standardized processes and workflows as required.

· Responsible for the management of the practice staff including, staff selection, training, scheduling, ongoing staff performance feedback and annual evaluations. Counselsemployees, recommends personnel actions, and addresses conflicts among staff and brings them to a resolution or escalates as needed.

· Liaison between clinicians, coding, and billing services to assure accurate claim entry and reimbursement. Coordinates and participates in coding education sessions as appropriate.

· Ensure complete collection of cash for patient responsible charges at time of visit

· Maintain knowledge of HIPAA and Compliance requirements and oversee compliance for the practice.

· Maintains medical records; ensures compliance with policies and procedures and acceptable medical record keeping practices.

· Ensures administrative and patient records and correspondence, as well as inter and intradepartmental correspondence, reports, etc. are maintained in accordance with MACC processes and procedures

· Responsible for overseeing the patient and medical records for the practice. Ensures compliance with policies and procedures and acceptable medical record keeping practices.

· Oversees daily mail operations, as appropriate

· Purchases equipment and materials required for the day-to-day operations of practice; overall responsibility for coordinating building maintenance

· Prepares administrative and management reports, budgets, and correspondence. Conducts special projects and related activities for the practice as requested

· All other duties, as assigned

Qualifications: · Bachelors Degree or a minimum of 2 years of supervisory experience in a medical facility preferred.

· Experience with current office technology and proficient with computer office applications (Electronic Medical/Health Records, MS Office, etc.)

· Medical terminology preferred

· Strong communication and interpersonal skills required

Schedule Details: 40 hours per week, Monday-Friday, Occasional Weekends & Holidays
