Summary: Practice Manager I is responsible for developing, planning, organizing, implementing, and directing the day-to-day operations and activities of a clinic location. Working with the assigned C-Suite member, Service Line Management, or Network Administrator, the major responsibilities of the position include:

  • Implementation of all standards and policies
  • Implementation of each strategic and operational plan
  • Supporting and guiding each direct report and holding these individuals accountable for performance
  • Developing collaborative working relationships with providers assigned to the clinic location for which the Manager is responsible

Except for external meetings, the Manager is expected to spend most of their time in the assigned clinic locations.

A. Experience, Knowledge, and Skill

  1. Requires a minimum of a Bachelors degree and 2 years of leadership experience, supervisory level and above, or 2 years of clinic leadership experience, supervisory level and above for each year of college.

  2. A working knowledge of the physician billing and collection function, the managed care function as it pertains to physician services, and federal healthcare regulations pertaining to the Medicare and Medicaid programs are all preferred.

  3. Core Competencies Required: • Excellent written, verbal communication, and presentation skills required. • Strong organizational and financial backgrounds are required. • Strong analytical skills and attention to detail required.

  4. Manual or Physical Skills Required: • Must be capable of performing all skills required in the day-to-day management of clinic operations and services.

Responsibilities

  1. Manages operations of the assigned clinics, including but not limited to: • Staffing • Patient scheduling • Workflow • Facilities • Payroll • Purchasing • Managerial accounting • Productivity • Customer service issues and/or personnel issues

  2. Manages provider needs, including but not limited to: • Continuing education • Licensure • Paid time off (PTO) • Productivity • Payroll • RVUs (Relative Value Units) • Clinic and hospital schedules • Customer service issues and/or personnel issues

  3. Monitors provider, clinic, surgery, and/or procedure schedules to optimize access.

  4. Ensures high levels of quality of care and service for patients by planning, implementing, and communicating operational procedures at all assigned clinics.

  5. Evaluates and/orients providers, in addition to counseling as necessary, to accomplish organizational goals.

  6. Evaluates, orients, counsels, and enforces disciplinary action with providers and staff.

  7. Effectively communicates organizational and clinic goals and strategies to providers and staff.

  8. Regularly involves providers and clinic staff by soliciting feedback regarding clinic performance, customer service issues, needs, or ideas for improvement.

  9. Comprehends and is familiar with financial and quality indicators, including but not limited to: • System level KPIs • Financial statements • Cost-revenue projections • Leadership Dashboards • Other clinic statistical data • Uses information to analyze performance, productivity, forecasts for budgets, profitability of new services, and capital/minor equipment needs.

  10. Establishes working relationships with Team Members beyond NOPG to ensure that the care continuum for patients is not fragmented.

  11. Works with various Revenue Cycle Leaders to optimize the revenue cycle and ensure proper and accurate billing, coding, and collection.

  12. The Practice Supervisor assures proper adherence to Joint Commission Standards by clinic staff and providers, in addition to completing monthly audits as outlined by the leadership team.

  13. Promotes superior customer service by: • Serving as a role model for customer service • Maintaining good working relationships with patients, visitors, physicians, and employees of the clinic • Building a sense of teamwork within the clinic • Timely follow-up with patients, family members, physicians, and clinic staff

  14. Monitors and processes follow-up on all patient inquiries and complaints. Reports all issues and resolution to direct supervisor.

  15. Operationalizes short- and long-term goals and objectives for areas of responsibility.

  16. Assists in the development and implementation of business development plans, including: • Clinics and providers existing service lines • New services and products

  17. Ensures compliance with all North Oaks Health System and North Oaks Physician Group policies and procedures, compliance programs, and federal and state regulatory guidelines.

OTHER DUTIES

  1. Attends participates in and facilitates meetings as requested, including POC and staff meetings.

  2. Completes and participates in special projects as directed.

  3. Processes patient experience survey responses as required by policy. Actively analyzes survey results to determine trends and prioritizes activities to maximize patient satisfaction.

  4. Maintains professional affiliations and enhances professional growth and development to keep abreast of the latest trends in clinic administration.

  5. Develops and maintains relationships with civic, community, and professional affiliations as directed and/or appropriate.

  6. Allocates adequate time and resources for clinic staff to participate in performance improvement activities and activities to improve patient safety.

  7. Performs other duties as assigned.
