Practice Coordinator (RN) – North Dakota

Position Summary

The Practice Coordinator serves as a key member of the leadership team, providing both administrative and clinical support to ensure the successful operation of our physician practices. This role is approximately 70% administrative and 30% clinical.

Working closely with the Medical Directors and Vice President of Operations, the Practice Coordinator is responsible for overseeing day-to-day practice operations, supporting providers, coordinating quality initiatives, and assisting with patient care activities. Clinical responsibilities include communicating test results to patients, addressing routine clinical inquiries, and providing light clinical support to providers as needed.

Key Responsibilities

Administrative Leadership

  • Support Medical Directors and the Vice President of Operations in the daily management of physician practices.
  • Coordinate provider schedules, staffing needs, and operational workflows.
  • Assist with quality improvement initiatives, patient satisfaction programs, and performance reporting.
  • Collaborate with coding, billing, and administrative teams to ensure efficient practice operations.
  • Develop, implement, and maintain policies and procedures that support organizational goals and regulatory compliance.
  • Monitor provider licensure, certifications, hospital privileges, CME requirements, and other regulatory obligations.
  • Coordinate vendor relationships, service contracts, and office supply management.
  • Address patient concerns and complaints professionally and promptly.
  • Maintain accurate records, reports, and operational documentation.

Clinical Support

  • Communicate test results and follow-up instructions to patients under provider direction.
  • Assist providers with patient care coordination and routine clinical tasks.
  • Support patient education initiatives and ensure timely communication with patients and families.
  • Promote adherence to clinical protocols and quality standards.
  • Maintain patient confidentiality and ensure HIPAA compliance at all times.

Compliance & Quality

  • Ensure compliance with HIPAA, CMS, state regulations, and company policies.
  • Participate in quality improvement and utilization management initiatives.
  • Assist with audits, accreditation activities, and regulatory reviews as needed.
  • Support efforts to improve patient outcomes and operational efficiency.

Qualifications

Required

  • Active Registered Nurse (RN) license in North Dakota.
  • Minimum of 3 years of experience in a healthcare leadership, practice management, or coordinator role.
  • Experience working in a hospital-based physician practice, clinic, or medical office setting.
  • Strong knowledge of medical terminology, healthcare operations, and regulatory compliance.
  • Excellent organizational, communication, and problem-solving skills.
  • Proficiency with electronic medical records (EMR) systems and Microsoft Office applications.

Preferred

  • Experience managing physician practices or healthcare operations.
  • Knowledge of coding, billing, and revenue cycle management.
  • Experience with utilization management and quality improvement initiatives.
  • Previous supervisory or leadership experience, including staff training and performance management.
  • Bachelor's degree in Nursing, Healthcare Administration, or a related field.
