Overview

The Practice Administrator (PA) is on-site and responsible for the operational and financial oversight of the ambulatory practice under the direction of the AVP and Regional President. This role functions as an integral part of the regional team and works directly with the Practice Medical Director to drive operational excellence, improve patient experience, and act as champions of change.

Responsibilities

The PA is responsible for coordination, communication, and operational support provided to the practice. Key responsibilities include:

• Building effective relationships and supporting corporate and regional initiatives • Maximizing the quality and efficiency of daily practice functions and direct practice objectives to ensure financial profitability • P&L ownership, including revenue growth, cost containment, analysis of the impact of operational decisions to profitability, and annual budget preparations • Monitoring patient access through key reporting to ensure clinician time is fully utilized • Driving operational strategies to reduce late cancellations, no-shows, and improve fill-rates to drive volumes and maximize patient access • Conducting regular site visits to satellite and outreach clinics for process analysis to ensure efficiency of daily practice functions and staff support • Evaluating and driving front-end revenue cycle performance metrics to assure timely chart completion, charge capture, clean and timely claim submission • Collaborating with RCM team and vendors to maintain a strong and healthy AR • Maintaining a strong working partnership with practice medical director and practice physicians to drive operational excellence • Holding monthly meetings with physicians and staff to solve workflow problems, build camaraderie, and improve patient experience • Holding staff accountable for performance deficiencies and applying necessary corrective action • Maintaining strong working relationships with internal departments to support regional and practice initiatives and needs • Managing and/or overseeing the recruiting, interviewing, hiring, and onboarding of staff • Ensuring the availability of properly trained personnel • Maintaining proficiency in all information systems, including EHR and PACS systems • Taking ownership of special projects, research data, and following through with detailed action plans and/or required proformas • Implementing and ensuring compliance with local and corporate policies and procedures • Actively monitoring and reviewing monthly financial, operational, and revenue cycle reports to ensure KPIs and financial targets are met • Implementing new strategic business plans as it relates to organic growth initiatives and expansion of services • Ensuring excellent customer relationships by responding to patient complaints and cultivating strong relationships with referral sources and hospital partners • Overseeing daily reconciliation of over-the-counter collections and daily deposits according to policy • Ensuring practice compliance with legal requirements related to OSHA, EEO, TEFRA, ERISA, and Wage and Hour • Directing the preparation of information required by the Compliance Department and ensuring that all staff are properly educated as directed by the Compliance Department and tasks are completed and resolved according to deadlines set • Adhering to SOX controls

Qualifications

Education: Bachelor's Degree preferred. Equivalent combination of relevant education and experience will be considered.

Experience: Industry: Healthcare Experience: 3 - 5 years of healthcare management experience required Experience with NextGen, Phreesia, & Epic preferred

Skills/Abilities: Knowledge of the local community health care environment sufficient to interact with other health care systems, providers, and administrators Understanding of medical office operations sufficient to oversee its operations and provide support to the Practice Medical Director and physicians Skill in exercising a high degree of judgment, discretion, and decision making necessary to achieve organizational objectives Must possess analytical skill sufficient to organize and prepare comprehensive reports Ability to organize and integrate organizational objectives to meet deadlines Demonstrated ability to effectively communicate in verbal and written forms Ability to complete assignments and job duties on time with the versatility to work on both financial and analytical projects Strong business background and strong computer skills (MS Word and Excel competencies are a must) Excellent verbal and written communication skills People management skills and the ability to work independently and as part of a team

The pay for this position ranges from $120,000.00 - $196,000.00 per year and is based on years of relevant experience. This position will have a bonus plan of up to 15% of annual salary based on exceeding performance metrics.
