Essential Job Duties

Safety/Security Sensitive Designation:

This is a safety/security sensitive position for purposes of the Arkansas Medical Marijuana Amendment.

  • Provide good customer service to both internal and external customers, maintain positive and effective working relationships with other City employees (especially members of their own team), and have regular and reliable attendance that is non-disruptive.
  • Effectively interview citizens (some are very upset), both in person and over the phone, to determine if a crime was committed. Document crimes against persons and/or property. Take photographs of evidence and collect evidence. Submit evidence as required.
  • Process case reports received from officers so that information provided complies with state and FBI guidelines. Some reports require transcription utilizing the dictation software (Scribe). When transcribed, a grammatically correct case report must be created in the records management system. Follow up with officers when information is missing or if narrative needs clarification.
  • Maintain an up-to-date and comprehensive understanding of the Arkansas Criminal and Traffic statues, including determining felony verses misdemeanor charges, as well as, the City of Fayetteville Code of Ordinances that are enforced by the police department.
  • Have thorough understanding of the law enforcement process and be able to convey this information effectively to citizens including bonds, fines, court procedures, Arkansas Freedom of Information Act, privacy laws, redaction of documents for public release, etc.
  • Perform duties accurately and be detail-oriented to avoid violating a citizen's civil liberties.
  • Input accurate, complete and timely data entry of accidents, arrests, tickets and warrants both in the police records management system and Fayetteville District Court software. Verify any data uploaded to the software for accuracy.
  • Input accurate, complete and timely data entry of parking summonses. Cancel parking summonses and communicate changes with Parking Enforcement and Fayetteville District Court to ensure up to date parking enforcement data.
  • Work closely with the District Court and Prosecutor's office; notifying officers when they are needed for trial and keep them up-to-date when trials are settled and/or postponed.
  • Reply to informational requests from other agencies, ambulance services, insurance companies, etc. Fulfill Freedom of Information Act requests for the department, including requests for case reports, accidents, background checks, body camera and motor vehicle recordings, and audio recordings, and ensure redaction of entries that are exempt from the requests. Coordinate internally with Police Department divisions and externally with Fayetteville City Prosecutor's Office, City Attorney's Office, and Washington County Prosecutor's Office for releasing guidance.
  • Ability to implement learned de-escalation tactics, mental health in-crisis recognition, active shooter awareness, and racial diversity inclusion.
  • Maintain jacket files and warrant files, complete individual daily activity reports, perform quality assurance for reports and other data entry as needed.
  • Maintain compliance with crime related data entry standards as set forth by the FBI's National Incident Based Reporting System (NIBRS).
  • Accept warrants from District Court. Enter data into police system. Maintain paper files. Confirm warrants for police officers and delete from system when served. Set court date in court software for arraignments when served.
  • Review criminal history and enter and recover stolen property, missing persons, vehicles, and enter and delete misdemeanor warrants through the Arkansas Crime Information Center.
  • Assist with front desk duties as needed including the receipt of monies for accident report fees, taxi, limousine, and pawn broker fees, preparing the daily deposit, auditing the daily count of the cash drawer and responding to background checks, etc.
  • Prepare and testify in court when subpoenaed concerning the facts of your involvement in a case.
  • Receive and process Orders to Seal from Fayetteville District Court and Washington County Circuit Court.
  • Perform document imaging duties when applicable.
  • Adhere to the policies, procedures and strict confidentiality standards of the Fayetteville Police Department.
  • Multi-task and prioritize workload from major crimes to informational reports.
  • Must be available for scheduled on-call assignments.
  • Receive packages and mail from USPS, FedEx, or UPS and distribute as needed.
  • Perform other duties as assigned.

Minimum Qualifications

  • High school diploma or GED and six months of related experience required. Law enforcement agency experience preferred.
  • Must successfully pass background check and drug test.
  • Ability to obtain ACIC Basic certification within three months of hire and Advanced certification with six months of hire.
  • Must be able to type a minimum of 50 words per minute.
  • Effectively communicate with others, both orally and in writing. Must be grammatically precise and have accurate spelling in written communications.
  • Must be proficient in the use of a computer and related software programs. Must be able to become proficient in navigating the Washington County Detention Centers intranet for booking and arrest processing. Must be able to effectively operate standard office equipment.
  • Must have knowledge of cash handling principles.
  • Requires the use of tact, initiative and independent judgement in dealing with citizens, some quite upset, while providing customer service.
  • Must be able to work independently with minimal to no supervision on nights, weekends and holidays as assigned.
  • Must be able to use mathematics, involving addition, subtraction, multiplication, division and/or calculating ratios, rates and percent.
  • Ability to manage reports that include criminal content that may be graphic in nature or emotionally disturbing.
  • Maintain a high level of confidentiality due to the exposure to sensitive and personal information in daily tasks at a law enforcement agency.
  • Must possess the ability to work effectively in an office environment that includes regularly receiving walk-in traffic and phone calls. The noise level in the working environment is frequently elevated due to discussions taking place in the general area.
  • While performing the functions of this job, the employee regularly is required to move from location to location within the department, stand and sit; use hands to finger, handle, or feel; reach with hands and arms; stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required to accomplish computer and office work.
