PIM Business Administrator / Contractor

Seeking a highly analytical PIM Business Administrator to support and administer its global Regulatory Product Information Management (PIM) platform. This role will serve as a key liaison between Regulatory Affairs, Business Operations, Data Governance, and Technology teams, ensuring the integrity, quality, and compliance of product master data used across global regulatory submissions and product lifecycle processes.
The ideal candidate will have hands-on experience supporting PIM systems, strong Excel/VLOOKUP/data analysis skills, experience working with product data models, and an understanding of UDI (Unique Device Identification) and regulatory product information processes within the Life Sciences or Medical Device industry.

Key Responsibilities
PIM Administration & Data Governance
  • Administer and support the enterprise Product Information Management (PIM) platform.
  • Maintain product master data, hierarchies, attributes, pick lists, classifications, and reference data.
  • Support product lifecycle change management activities and regulatory data governance processes.
  • Manage user access, security groups, permissions, and account administration.
  • Monitor data quality, completeness, consistency, and integrity across product records.
  • Identify and resolve data quality issues through root cause analysis and process improvements.
Data Analysis & Reporting
  • Utilize advanced Microsoft Excel functions including VLOOKUP, XLOOKUP, Pivot Tables, Power Query, and data validation techniques.
  • Analyze large product datasets and regulatory information to identify trends, gaps, and inconsistencies.
  • Develop dashboards, reports, KPIs, and metrics using Excel and Power BI.
  • Support audits, compliance reviews, and regulatory reporting requirements.
Regulatory & UDI Support
  • Support maintenance of regulatory product information used for global compliance initiatives.
  • Assist with management of UDI (Unique Device Identification) data and product attributes.
  • Support regulatory data submissions and compliance activities related to:
    • FDA GUDID
    • EUDAMED
    • Global UDI requirements
  • Ensure regulatory product data remains accurate, complete, and audit-ready.
Business Process & User Support
  • Serve as a primary point of contact for PIM-related user support and issue resolution.
  • Create and maintain business process documentation, work instructions, and training materials.
  • Conduct user training sessions and support Power User communities.
  • Facilitate communication between business stakeholders and technical teams.
  • Translate business requirements into system enhancements and process improvements.
Testing & Change Management
  • Participate in system enhancements, upgrades, and change management initiatives.
  • Develop and execute User Acceptance Testing (UAT) scripts and test plans.
  • Support validation activities and SDLC documentation reviews.
  • Assist with implementation of new workflows and business processes.
Required Qualifications
  • Bachelor's Degree in Science, Healthcare, Information Systems, Business, or related field.
  • 3+ years of experience supporting:
    • Product Information Management (PIM) systems
    • Regulatory Operations
    • Business Systems Administration
  • Strong understanding of:
    • Product Master Data
    • Data Governance
    • Data Models and Data Relationships
    • Product Lifecycle Management concepts
  • Advanced Microsoft Excel skills:
    • VLOOKUP/XLOOKUP
    • Pivot Tables
    • Data Validation
    • Power Query
    • Complex formulas and data analysis
  • Experience creating reports and dashboards using Power BI.
  • Excellent analytical, troubleshooting, and problem-solving skills.
  • Strong written and verbal communication skills.
  • Knowledge of:
    • UDI (Unique Device Identification)
    • FDA GUDID
    • EUDAMED
    • EU MDR regulations
  • Experience with PIM platforms
