Physician Coordinator

About Symbiotic Services

Symbiotic Services is recruiting on behalf of a respected healthcare organization seeking a proactive, highly organized, and detail-oriented Physician Coordinator. This position is part of a collaborative administrative team supporting physicians and executive leadership. The selected candidate will primarily support designated physicians and senior leadership while contributing to the overall success of the organization.

Key Responsibilities

  • Manage physician calendars, appointments, meetings, and travel arrangements.

  • Anticipate scheduling conflicts and coordinate solutions with physicians, staff, and external partners.

  • Screen, prioritize, and manage incoming calls, emails, and correspondence.

  • Prepare meeting agendas, minutes, reports, and supporting documents.

  • Maintain physician credentialing, licensing, and compliance records.

  • Handle confidential medical, financial, and organizational information with discretion.

  • Support physician projects, professional memberships, and special events.

  • Serve as a liaison between physicians, staff, and external contacts.

  • Provide occasional after-hours assistance for urgent physician scheduling needs.

Qualifications

  • High school diploma required; Bachelor's degree preferred.

  • Minimum of 5 years of administrative experience in healthcare, hospital, or private practice environments.

  • Strong proficiency with Microsoft Office Suite; EMR experience preferred.

  • Excellent communication and interpersonal skills with the ability to build trust and maintain professionalism.

  • Demonstrated ability to prioritize multiple responsibilities, manage interruptions, and meet deadlines in a fast-paced setting.

  • Proven record of reliability, punctuality, and confidentiality.

Schedule & Compensation

Employment Status: Non-Exempt

Hours: Approximately 80–90 hours per bi-weekly pay period

Regular Schedule

  • Monday–Friday

  • 7:00 a.m. – 3:30 p.m.

  • 30-minute lunch break

Additional Availability

  • Occasional after-hours response to urgent physician scheduling needs (infrequent)
