A Brief Overview

The Perioperative Scheduling Specialist is responsible for supporting the Control Desk Coordinator in coordinating all operative scheduling for Perioperative Services. The perioperative scheduling specialist reviews and adheres to policies and procedures directly related to patient scheduling for the perioperative services, Women's OR, Out of OR cases, Anesthesia and Pain Procedures. Receives requests via telephone, fax, and e-mail from varied sources such as Attendings, Residents, and clinic staff.

What you will do

  • Prepares to post slips for the scheduled procedures and relays pertinent information to CSR for case cart preparation. Assigns times and rooms for procedures and enters case cart and patient information into the Operating Room Automated Scheduling System. Performs various clerical tasks, which support Perioperative Services.
  • Answers multi-line telephone and also responds to internal request for OR time through e-mail and fax, obtains all necessary registration information including: demographics, insurance, pre-authorizations and precertification prior to scheduling cases, accurately schedules all procedures/cases in Perioperative Services utilizing OR block and open time.
  • Communicates directly with OR Desk Coordinator as well as Physicians, Perioperative Nurse Manager and Charge Nurses regarding scheduling conflicts and suggests resolutions expeditiously. Verifies physician credentials via e-Priv, maintains current files in Ipath for current practice, collects, reviews and edits data for statistical reports reflecting block time utilization accepts posting slips via authorized persons and methods and schedules cases per policy,
  • Maintains OR scheduler data integrity through patient master file maintenance, scheduling information and cancellations, works closely with practice sites, ancillary staff and management to identify and resolve scheduling issues.
  • Interacts with all services; provide timely and accurate feedback, promotes positive image by listening to customer's needs, offering assistance and ensuring customer satisfaction, recognizes and responds to priorities in providing service, performs assigned tasks completely and safely, maintains proficiency in required skills, provides input into the plan of operations by reporting pertinent information, lead daily quick look schedule review.

Required Minimum Education:

  • Accredited Program General or Accredited Program General or Associates Business Administration/Management-Preferred

Required Minimum Experience:

  • Minimum 3 years Progressive experience supporting health-related administrative and/or clerical duties.
