This role is critical to ensuring compliance, optimizing systems, and supporting a seamless employee experience. We're looking for a big-picture thinker who can own the process from start to finish while recommending ways to streamline, automate, and improve.
You'll begin by supporting open enrollment and optimizing the ADP platform for benefits processing and leading invoice reconciliation efforts. Immediate priorities include identifying process improvements and contributing to system-wide efficiency gains.

Key Responsibilities
Payroll Oversight
- Oversee accurate and timely payroll processing in ADP Workforce Now
- Ensure compliance with all applicable federal, state, and local payroll laws
- Collaborate with the Payroll Specialist to review and approve payroll batches, including earnings, deductions, and taxes.
- Partner with Finance on payroll GL reconciliation and audits
- Lead the development and implementation of strategic benefits initiatives, including plan design, renewals, and vendor evaluation, ensuring alignment with organizational goals and employee needs
- Compile and analyze benefits utilization data to inform decision-making and recommend plan design changes. to improve employee experience and reduce healthcare spending.
- Manage relationships with benefits vendors and brokers, overseeing plan renewals and negotiations.
- Ensure compliance with all benefits-related regulations, including ACA, ERISA, COBRA, and HIPAA.
- Support employees through benefit transitions and inquiries
- Collaborate with HR and IT to maximize the use of ADP tools, including automation and self-service functionality.
- Evaluate current HRIS usage and recommend system enhancements or integrations to support department needs.
- Lead the development and implementation of strategic benefits initiatives, ensuring alignment with organizational goals and employee needs.
- Streamline backend processes and reporting workflows within ADP to increase operational efficiency.
- Leverage ADP Workforce Now capabilities to improve change management, reporting, and data flow.
- Program and manage the ADP system setup for annual benefits open enrollment.
- Ensure compliance with ACA, COBRA, HIPAA, ERISA, and other applicable regulations
- Prepare and submit required reports and filings, such as ACA reporting and retirement plans.
- Maintain up-to-date knowledge of regulatory changes affecting payroll and benefits.
- Document standard operating procedures (SOPs) for all payroll and HRIS tasks to ensure consistency and scalability.
- Track and monitor outcomes to confirm payroll and benefits enhancements are working and sustainable. (error rates, processing time, employee satisfaction)
- Lead cross-functional projects related to payroll and benefits, from initial planning through execution and evaluation.
- Develop and manage project timelines, ensuring milestones are met and stakeholders are informed.
- Identify and mitigate risks associated with payroll and benefits projects.
- Supervise and mentor the payroll specialist, creating ongoing development opportunities
- Foster a high-performance, service-driven culture within the Payroll and Benefits team
- Lead cross-functional projects related to payroll and benefits, from initial planning through execution and evaluation.
- Develop and manage project timelines, ensuring milestones are met and stakeholders are informed.
- Identify and mitigate risks associated with payroll and benefits projects.
- Facilitate focus groups, surveys, and other forums to gather employee input on payroll and benefits matters.
- Develop and deliver communications to educate employees on benefits programs and changes.
- Serve as a resource for employees, addressing inquiries and concerns related to payroll and benefits.
- Strong experience with ADP Workforce Now, especially with reporting and automation tools
- Experience working with self-insured medical plans and vendor/broker relationships
- Someone who can spot inefficiencies and bring forward solutions proactively
- Experience working in a professional, traditional office culture
- Ability to think critically about systems, processes, and costs while supporting employees with empathy
- Bachelor’s degree in HR, Business, or related field
- 5+ years of experience in payroll and benefits management
- Supervisory experience, preferably in a similarly sized organization (260 + employees)
- CPP or CEBS certification is a plus

Paid Time Off (PTO)
