Payroll Assistant Job Description
Job Summary
The Payroll Assistant supports the payroll department by ensuring employees are paid accurately and on time. This role involves processing payroll data, maintaining records, handling employee inquiries, and assisting with compliance and reporting requirements.
Key Responsibilities
Assist in processing payroll for employees (weekly, biweekly, or monthly)
Verify employee time records, attendance, and deductions
Input and update payroll data in payroll systems
Ensure accuracy of wages, overtime, bonuses, and deductions
Maintain payroll records and employee files in compliance with company policies
Respond to employee questions regarding pay, benefits, and deductions
Assist with tax withholdings, garnishments, and benefits administration
Generate payroll reports for internal use and audits
Help ensure payroll compliance with federal, state, and local regulations
Support year-end processes such as W-2 preparation
Qualifications
High school diploma or equivalent (associate or bachelor's degree preferred in accounting, finance, or HR)
Previous experience in payroll, accounting, or administrative support (1-2 years preferred)
Familiarity with payroll software (e.g., ADP, Paychex, or similar)
Basic understanding of payroll laws and tax regulations
Proficiency in Microsoft Excel and data entry
