Job Summary:
The Payroll & Benefits Manager oversees all payroll and benefits operations for a 600+ employee healthcare organization, ensuring accurate, timely, and compliant processing of payroll, benefits programs, and retirement plan administration. This role manages payroll workflows and serves as the organizational expert in ADP payroll systems and benefit plan processes. The position also leads administration of the company's 401(k) plan, including coordination of annual audits, compliance testing, and employee support.
Supervisory Responsibilities:
- Supervise, train, and mentor eventual payroll staff.
Duties/Responsibilities:
- Manage full-cycle, semi-monthly payroll for 600+ employees across multiple locations.
- Review and validate time and attendance data, ensuring accuracy across varied work schedules.
- Process off-cycle payments, corrections, retro adjustments, bonuses, and other pay components.
- Provide guidance to employees and managers on payroll and benefits related inquiries.
- Maintain compliance with all wage and hour regulations and organizational policies.
- Serve as the primary administrator for the organization's 401(k) plan.
- Manage enrollments, contribution changes, loan requests, and hardship withdrawals.
- Ensure timely and accurate payroll deductions and remittance of employee and employer contributions.
- Coordinate with plan providers and auditors to ensure ERISA and IRS compliance, and complete 401(k) audits.
- Collaborate with HR on benefits, onboarding/offboarding, and compensation updates.
- Support preparation of Form 5500 and annual plan reporting.
- Ensure payroll and benefits practices comply with federal, state, and local laws.
- Oversee payroll tax filings, W-2s, ACA forms, and other statutory reporting.
- Maintain accurate payroll records and support internal/external audits.
- Develop and maintain payroll and benefits policies and procedures.
- Troubleshoot system issues and partner with ADP resolve issues.
- Create and maintain custom payroll and benefits reports for HR, Finance, and leadership.
- Perform other duties as assigned.
Education and Experience:
- Bachelor's degree in Accounting, HR, Business Administration, or relevant field required.
- 5+ years of payroll and benefits experience, including responsibility for 401(k) processes required.
- Experience managing payroll for 300+ employees.
- Strong proficiency with ADP Workforce Now and ADP Time & Attendance.
- Knowledge of multi-state payroll laws and benefit compliance requirements.
- Exceptional accuracy, analytical skills, and confidentiality.
Required Skills/Abilities:
- Strong analytical and problem-solving skills, with the ability to identify and resolve payroll and benefits discrepancies.
- Excellent communication skills, including the ability to explain payroll and benefits information clearly to employees at all levels.
- High attention to detail with a commitment to accuracy in all payroll, benefits, and compliance tasks.
- Ability to manage confidential information with professionalism and discretion.
- Proficiency in ADP Workforce Now, including reporting, system maintenance, and troubleshooting.
- Strong organizational and time-management skills, with the ability to meet strict deadlines.
- Ability to interpret and apply regulations related to payroll, benefits, ERISA, and tax requirements.
- Customer-service mindset, providing timely and supportive assistance to employees and managers.
- Ability to work independently and collaboratively in a fast-paced environment.
- Proficiency in Microsoft Excel and related tools for data analysis and reporting.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 10 pounds at times.
