You do not need previous medical training to succeed in this role. This could be a wonderful opportunity for someone with experience in:
- Consultative sales.
- Hospitality.
- Luxury retail.
- Membership sales.
- Fitness or wellness services.
- Customer service.
- Patient coordination.
- Another relationship-focused environment.
The right person will be warm, polished, motivated, dependable, and organized. You should enjoy working with people, feel comfortable discussing pricing and scheduling, and be excited by clear goals and opportunities to grow.
Our Approach to Patient Education and Sales:
We believe patients make the best decisions when they feel informed, respected, and supported—never pressured.
Our coordinators do not diagnose patients or recommend medical treatments. The physician develops the clinical treatment plan. Your role is to help the patient understand that plan, answer nonclinical questions, explain logistics and costs, and guide them through the next steps.
To us, ethical sales means:
- Listening carefully to each patient’s goals and concerns.
- Explaining physician-recommended services clearly and accurately.
- Communicating value without exaggerating results.
- Reviewing costs, preparation, limitations, and maintenance honestly.
- Following up thoughtfully and consistently.
- Respecting each patient’s right to make an informed decision.
- Helping patients work through scheduling or financial uncertainty without inappropriate pressure.
We believe that exceptional service, trustworthy education, and dependable follow-up are what create loyal patients and sustainable practice growth.
What You Will Do:
Patient Education and Treatment Coordination
You will help guide patients through medical, surgical, and cosmetic treatment plans established by their physicians.
Your responsibilities will include:
- Explaining treatment logistics, scheduling requirements, preparation, expected downtime, general limitations, pricing, and next steps using practice-approved information.
- Reinforcing physician recommendations without independently making clinical recommendations.
- Preparing clear and accurate written treatment quotes.
- Reviewing treatment fees, deposits, payment deadlines, financing options, and practice policies.
- Helping patients understand their scheduling and payment options.
- Answering nonclinical questions and directing clinical questions to the appropriate physician or clinical team member.
- Making sure patients feel heard, respected, informed, and supported throughout their experience.
Scheduling and Patient Follow-Up:
You will help patients move confidently from consultation to treatment.
This may include:
- Scheduling medical, surgical, injectable, laser, body-contouring, and cosmetic procedures.
- Following up with patients who are considering treatment.
- Helping patients identify a clear and appropriate next step.
- Maintaining an organized follow-up system so patients and important tasks do not fall through the cracks.
- Reconnecting with patients who have postponed treatment when appropriate.
- Coordinating appointments with physicians, surgery centers, hospitals, anesthesia providers, and other care-team members.
- Confirming that consents, photographs, medical clearances, deposits, payments, and required documents are completed by the appropriate deadlines.
- Communicating preprocedure and post-treatment instructions provided by the clinical team.
- Maintaining accurate calendars, quotes, payment records, patient notes, and follow-up documentation.
Memberships and Practice Growth:
You will also help appropriate patients understand our memberships and ongoing care programs.
Your responsibilities may include:
- Explaining membership benefits, pricing, eligibility, limitations, cancellation terms, and payment responsibilities.
- Helping patients understand which physician-recommended services or programs may align with their goals.
- Meeting clearly defined expectations for follow-up, treatment scheduling, collections, membership enrollment, and patient conversion.
- Tracking leads, consultations, pending treatment plans, deposits, scheduled procedures, and completed follow-up activities.
- Participating in coaching, role-playing, sales education, and performance reviews.
- Sharing ideas that may improve the patient experience and make scheduling easier.
Patient Service and Office Support:
Because every interaction matters, you will also:
- Provide polished and responsive service by phone, email, text, and in person.
- Assist with front-desk scheduling and telephone coverage when needed.
- Protect patient privacy and handle medical and financial information with discretion.
- Work collaboratively with physicians, clinical staff, administrative staff, and outside facilities.
- Contribute to an organized, accountable, supportive, and positive office culture.
Who Will Thrive in This Role?
You may be a great fit if you:
- Are naturally warm, upbeat, engaging, and easy to talk to.
- Enjoy meeting new people and earning their trust.
- Have strong sales instincts but believe honesty always comes before a transaction.
- Can confidently discuss pricing and ask a patient whether they are ready to schedule.
- Are comfortable working toward measurable goals.
- Appreciate accountability and enjoy seeing your progress.
- Respond well to coaching and actively apply feedback.
- Are excited to learn about treatments, technology, medical terminology, and practice protocols.
- Take initiative instead of waiting to be reminded about every task.
- Follow up consistently and do not let patients or responsibilities get forgotten.
- Communicate clearly, professionally, and respectfully.
- Balance enthusiasm with good judgment and appropriate boundaries.
- Stay composed and solution-oriented in a busy environment.
- Want to grow in responsibility, knowledge, and earning potential.
- Understand that success comes from preparation, consistency, and follow-through.
