Responsibilities:

Delivers the highest level of customer service to patients, fellow employees, and referral sources through the coordination and administration of the center front office operations. Performs all office functions related to patient scheduling, reception duties, medical record preparation, center statistics and report compilation, and data collection and dissemination efficiently. Provides an exceptional first impression and patient experience for both patients and family members.

 

  • Schedules patients for service(s) within established guidelines. With assistance of Center Manager, schedules appointments to reduce cancellations and recapture lost visits through reschedules and refills.
  • Encourages patients to adhere to treatment frequency prescribed by the physician. Offers alternative appointments in the event of patient cancellation. When necessary, modifies patient schedule to accommodate staffing and center needs.
  • Greets and registers patients in a timely, professional and customer-focused manner. Ensures thorough completion of all necessary patient forms with appropriate signatures and copies of insurance cards. Validates accuracy of all information provided by patient.
  • Verifies patient information prior to initial evaluation. Clearly explains benefits to the patient including all patient financial responsibility, billing processes and outpatient policies and procedures.
  • Enters all new patient information in NPR; enters daily stats in necessary databases timely and accurately.
  • Collects patient co-payments, deductibles, and co-insurance, fees for supplies and aftercare services and provides receipts. Maintains all necessary functions of over-the-counter collections and related fee transactions, including co-pay log/deposit slip, collection and safe storage of monies. Deposits collected cash at least once a week.
  • Tracks and obtains ongoing insurance verification/authorization information from payers and communicates this data to patient, admission staff and treatment team. Responsible with treatment team to ensure appropriate authorizations, prescriptions and certifications are in place prior to patient treatment session. Completes and maintains authorized visits in NPR.
  • Performs other duties as requested.
Qualifications:

Minimum Qualifications 

  • High School diploma or equivalent required.
  • Data entry experience required
  • Customer service and interpersonal skills necessary to communicate effectively with staff members, supportive personnel, patients, physicians and community members required.

 

Preferred Qualifications

  • Certified BLS preferred
  • Two years in medical office setting that requires multi-tasking preferred.
  • Knowledge of insurance verification preferred.
