Job Description
This position greets and assists patients as they enter and leave the office, assuring that all desk and registration areas work smoothly and efficiently. This position maintains an efficient appointment and patient flow system and works as part of a care team that practices evidence-based medicine in a Patient Centered Medical Home model of care.
Specifically, this position will be expected to:
- Collects and updates all patient demographics, eligibility, and insurance information.
- Enters all appropriate data into the electronic medical records system.
- Maintains patient Sliding Fee Scale status with up-to-date POI and updates the patient registration annually.
- Enters medical, pharmacy, transportation, and ancillary service visits and enters data into the appropriate electronic medical records system.
- Obtains record release signatures from patients to request outside medical office records. Follows up to ensure receipt of records for timely appointment scheduling.
- Explains PATHS services as well as patient policies and procedures.
- Educates patients on the use of the patient portal.
- Checks in patients and prepares electronic charts for visits.
- Collects payments for services, current and past, explaining patient charges as requested.
- Explains charges to patients and directs any questions to the billing office as necessary.
- Handles cash daily processes, credit card payments, checks, and other forms of payment.
- Works in conjunction with the Billing Coordinator to maintain knowledge about insurance policies and verifications continually.
- Answers questions regarding patient accounts, referrals, appointments, and upcoming office appointments.
- Maintains phone calls incoming to the office daily.
- Creates telephone encounters for medication refills, clinical staff messages, and chart inquiries.
- Maintains an accurate and up-to-date appointment system.
- Checks encounter forms, medical records, and schedules to prevent double or missed appointments.
- Assists patients with scheduling appointments for follow-ups, rescheduling cancelled appointments, and handling no-shows.
- Calls patients that eCW Messenger does not contact to remind of missed appointments, Proof of Income, Insurance coverage, and confirming appointments.
- Maintains fax input box and assigns appropriate documents to providers, clinical staff, referral coordinator, and navigators.
- Manages medication pick-up at multiple sites.
- Assists patients on their departure and scheduling follow-up appointments.
- Prepares daily reconciliation of daily charges and payments; prepares daily deposit for Site Manager to send to finance.
- Functions within HIPAA laws to protect patient information.
- Other duties as required.
