About the Role
The Patient Concierge is the central point of the client experience. This role combines front desk duties, patient care, and light clinical and operational support. You will ensure every client receives a smooth, professional, and welcoming experience from arrival to follow-up.
Key ResponsibilitiesClient Experience & Communication
- Greet and welcome clients in a warm and professional manner
- Create a calm, organized, and inviting reception environment
- Assist clients with check-in and check-out
- Answer questions about treatments, aftercare, and services
- Conduct follow-up communications to support satisfaction and retention
- Maintain a clean and organized reception area
Scheduling & Administrative Support
- Manage appointments using EMR systems (Aesthetic Record, Nextech, or similar)
- Schedule, confirm, reschedule, and manage cancellations and waitlists
- Process payments, invoices, and maintain accurate client records
- Ensure all documentation and consent forms comply with HIPAA standards
Clinical & Operational Support
- Prepare and restock treatment rooms and equipment
- Assist providers during aesthetic procedures (Botox, fillers, IV therapy, laser treatments, microneedling)
- Take vitals and record patient information
- Provide comfort and reassurance during patient visits
- Support inventory and assist with retail skincare and wellness products
Education & Growth
- Stay updated on skincare, aesthetics, and wellness trends
- Educate clients on services, memberships, and promotions
- Participate in ongoing training to improve client care and operational skills
What We’re Looking For
- 1–2 years of experience in front desk, patient care, or medical spa/aesthetic setting (preferred)
- Strong communication and organizational skills
- Professional appearance and strong attention to detail
- Comfortable using EMR or CRM systems (Aesthetic Record, Nextech, or similar)
- Medical Assistant certification (CMA/RMA) is a plus but not required
