Responsibilities:
- General front office and reception management including but not limited to:
- Managing calls, emails and other communications accordingly
- Greeting clients, booking reservations, meeting rooms, etc., arranging parking validations
- Provide support & communication to all clients, partners and team members as needed
- Manager employee and office calendars in Microsoft Outlook
- Manage, maintain, and create Client Portals when necessary
- Coordination of tax work papers, Sure prep, and tax return assembly
- Handle wire transfers, check deposits, credit card charges into CCH & QuickBooks
- Client Administrative Duties:
- Preparation of Engagement Letters and Acceptance Forms for Clients
- Enter client expenses, follow up on collections, client billing & invoices/statements
- Assist with general office maintenance & upkeep
- Maintain copy machine, kitchen area, inventory supplies and order as needed
- Document organization including scanning, filing & sorting mail
- Other duties as assigned related to the needs of the business, our clients, and partners
Additional Info:
- Salary range for this position is between $22.00 - $25.00 per hour and will be finalized based on the candidate's years of experience and local cost of labor
- Please note that this position is 100% in office with a maximum of 29 hours per week at this time
- Potential for full-time depending on the needs of the business
- This position is considered part-time and non-exempt
- Work schedule: Mondays, Wednesdays, Thursdays (open to discussion based on ideal candidate's schedule)
- Working/office hours: 9:00 am to 5:00 pm
- Training will be provided for all tax administrative related duties

Qualifications:
- 2 - 3 years of experience working as an administrative assistant or in an administrative capacity where the aforementioned role’s responsibilities were part of daily routine
- Previous tax or general accounting related experience is highly desired, not required
- Strong knowledge of and proficiency with Microsoft Office products: Outlook, Excel, Word, PowerPoint etc.
- Excellent and professional level of verbal and written communication skills
