Job Title Part-Time - Program Assistant - Small Business Center Job Description
The Program Assistant supports the programs and activities of the Wilkes Community College (WCC) Small Business Center (SBC), providing administrative assistance to advance the Center's mission, goals, and objectives. This role serves as a key point of contact for SBC clients and plays an integral part in the coordination of seminars, marketing efforts, and day-to-day office operations.
Reports directly to the Director of the Wilkes Community College Small Business Center.
Full Time or Part Time Part Time Essential Duties Summary
Core responsibilities include, but are not limited to:
Seminar Coordination
- Schedule and set up SBC seminars within the Wilkes Community College system, including classroom reservations and equipment coordination to support instructors.
- Complete class setup forms in a timely manner and report/grade seminar results in the NCID system.
- Prepare instructor packets containing all required materials, including registration forms, evaluations, instructor handouts, and SBC marketing information.
- Manage the seminar registration process and send timely reminder communications to registered participants.
- Prepare and distribute instructor contracts.
Client Services & Communications
- Represent the WCC Small Business Center in a professional and positive manner at all times.
- Communicate with and assist SBC clients via phone and email, providing outstanding customer service.
- Maintain and update the SBC client email list to support ongoing marketing and outreach efforts.
Administrative Support
- Assist the SBC Director with the preparation of the annual SBC report and other administrative tasks as needed.
- Adhere to state SBC guidelines established by the Small Business Center Network and the State Director.
- Manage SBC office operations, including maintaining and ordering supplies and equipment as directed.
Additional duties may be assigned as needed.

Knowledge
- Operations, services, and activities of a small business center environment.
- Applicable SBC guidelines and compliance requirements relevant to the position.
- Wilkes Community College processes, policies, and procedures that impact the role.
Skills & Abilities
- Deliver exceptional customer service to clients in person, by phone, and in class settings.
- Collaborate effectively within an office environment and build positive working relationships with colleagues, clients, and community partners.
- Analyze situations, identify solutions, and implement recommendations aligned with SBC goals.
- Communicate clearly and professionally, both verbally and in writing.
- Manage time effectively and handle a work environment that may periodically involve irregular
hours.
Experience
- A minimum of five (5) years of progressively responsible office or business experience is required, or an equivalent combination of experience and training.
Technical Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Publisher, PowerPoint), or the ability to quickly attain proficiency.
- Experience with or ability to learn email marketing platforms such as Constant Contact or Flodesk.
License & Certification
- Possession of, or ability to obtain, a valid driver's license appropriate to assignment.
Preferred Qualifications
Education
- An Associate's degree (2-year) is preferred, with an emphasis in Business or Education.
- Experience with online marketing and social media is preferred.
Physical Demands
Work is primarily performed under general supervision in an office setting with appropriate climate controls. Requires the ability to exercise good judgment in a variety of situations. Requires strong written and verbal communication, administrative, and organizational skills. Must be able to work under pressure and handle all confidential matters with discretion. Travel, evening, and weekend work will be required. Potentially 3 hours per month in the evening.
Mental Application: Utilizes memory for details, verbal instructions, emotional stability, critical thinking, adaptability, and creative problem-solving skills are important.
Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions.
Essential functions of this position require lifting, manual dexterity, the ability to communicate, reasoning, critical thinking, and problem-solving.
Medium work: Exerting up to 25 pounds of force occasionally and/or up to 5 pounds of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body; involves sitting for long periods.
Salary Grade Salary $15 - $20 per hour based on education and experience.
