Job Summary

The Part-Time Front Desk Coordinator serves as the first point of contact for the office and plays a key role in keeping daily operations running smoothly. This role supports administrative, office operations, and cross-functional needs while ensuring a welcoming and organized workplace environment.

Job Details

  • Hire Date: ASAP
  • Position Type: Part-time, Non-Exempt, On-site
  • Reports to:Chief of Staff to the Co-President

Job Responsibilities

FRONT DESK & OFFICE OPERATIONS

  • Greet visitors while following welcome procedures
  • Provide premier customer service to visitors and team members
  • Funnel resource requests for teams as needed
  • Manage incoming and outgoing mail and packages
  • Prepare office for meetings/trainings, as needed (to include set-up/clean-up, catering, etc.)
  • Coordinate office supply orders (Amazon, Walmart, etc.) and keep supplies stocked      
  • Ensure security of building entrance and deliverables
  • Vendor management and scheduling as it relates to office maintenance needs
  • Monitor and maintain office common areas, including kitchen, snack stations, and refrigerator
  • Maintain office readiness, including signage (e.g., office closings)
  • Prepare swag bags, nameplates, and other employee materials
  • Support huddle/meeting preparation and in-office setup, if required (bi-weekly)
  • Help manage postage equipment

        

 GENERAL PROJECT & TEAM SUPPORT

         

  • Assist departments with special projects assigned: (e.g., Administrative (client file organization, document processing, company sites/document management), Credit (QA Process), Human Resources, Marketing (mailing campaigns, marketing initiatives, event prep))

Preferred Qualifications

  • Previous administrative, front desk, or office coordination experience preferred
  • Excellent verbal and written communication skills
  •   Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Positive attitude and upbeat demeanor and an ability to remain calm under pressure
  •   Excellent organizational skills and attention to detail and accuracy with data entry
  • Excellent time management skills with a proven ability to meet deadlines and prioritize tasks
  • Strong customer service skills, and ability to interact with employees at all levels
  • Ability to act with integrity, professionalism, confidentiality, and handle sensitive information

Travel and Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times
