Sparks Group has partnered with our client that is seeking a highly organized, dependable, and proactive Part Time Office Administrator to join their team. In this role, you will be the backbone of their daily operations, handling everything from front-desk reception to critical administrative workflow support. The ideal candidate has strong administrative experience, thrives in a fast-paced environment, and possesses sharp attention to detail. While experience in a construction or skilled trades office is a major plus, it is not required for a quick learner with the right attitude.

Key Responsibilities

Data Entry & Project Support

  • Accurately input and process field reports into the company database/system.

  • Prepare and format client quotes.

  • Complete RTI (Request to Invoice) forms and submit them to the accounting department in a timely manner.

  • Assist with pricing out parts and components as you become familiar with our inventory and vendors.

General Office Administration

  • Manage the front desk: Answer incoming phone calls, route messages, and greet occasional visitors.

  • Handle daily mail distribution, outgoing packages, and general correspondence.

  • Maintain physical and digital filing systems to ensure data integrity.

  • Provide general support to the management and field teams as needed.

Qualifications & Requirements
  • Experience: Proven track record with strong administrative or office assistant experience.

  • Industry Background: Experience working within a construction, HVAC, plumbing, or electrical trade office is highly preferred but not mandatory.

  • Software Skills: Proficiency in MS Office, with intermediate to advanced skills in Excel (data entry, basic formulas, and spreadsheet management).

  • Skills: Exceptional organizational skills, strong communication, and the ability to multitask without losing attention to detail.

  • Reliability: A dependable professional who takes ownership of their daily tasks.
